Department Overview

The Information Technology Services (ITS) division delivers innovative IT solutions and outstanding technical support to fulfill the mission of providing water power and sewer services to over one million residents in San Francisco. ITS plays a strategic role in deploying modern technologies that drive transformation and support operations across the organization.

Project Summary

ITS is embarking on two major infrastructure projects over the next 2 4 years:

  1. Migration from an aging Avaya phone system to a modern telephony solution.

  2. Modernization of existing Audio-Visual (A/V) systems across multiple sites.

To support these initiatives ITS seeks a Technical Project Coordinator to provide critical project coordination and analytical support.

Position Overview

The Technical Project Coordinator will act as the liaison between ITS stakeholders and external service providers supporting the coordination documentation and communication required for both the Telephony and A/V system modernization projects. Reporting directly to the ITS Project Director this position will focus on planning tracking and facilitating key project activities.

The role does not involve supervisory duties but requires frequent collaboration with internal staff and consultants. The ideal candidate will be highly organized self-motivated and capable of working across various teams and locations.

Key Responsibilities

Project Coordination & Support

  • Serve as the main point of contact and subject matter expert for the ITS Project Director and project stakeholders.

  • Develop and manage detailed project schedules including milestones and deliverables.

  • Track progress identify risks and support scope and change management processes.

  • Coordinate on-site visits and lead requirements-gathering sessions.

  • Document technical requirements business processes policies and procedures.

Communication & Documentation

  • Prepare agendas take meeting minutes and distribute documentation.

  • Monitor project risks and support development of contingency plans.

  • Manage stakeholder engagement and oversee internal/external communication strategies.

  • Maintain accurate records and system documentation for all project phases.

  • Create user communication plans and training support materials.

Tools & Reporting

  • Regularly report project status to the ITS Project Director and stakeholders.

  • Utilize Microsoft Office (Word Excel PowerPoint Teams SharePoint) for documentation and communication.

  • Employ project management tools such as MS Project Asana or equivalent for scheduling and tracking.

Required Qualifications
  • Proven experience coordinating infrastructure migration projects particularly in Telephony or A/V system implementations.

  • Strong knowledge of project management methodologies and tools.

  • Experience in documenting requirements developing communication strategies and stakeholder management.

  • Intermediate to advanced proficiency with Microsoft Office and Project Management Software.

  • Exceptional organizational and communication skills.

  • Ability to work independently and travel to various project sites.

Additional Requirements
  • Must possess a reliable mode of transportation to travel to ITS-managed sites in San Francisco Alameda San Mateo and Tuolumne Counties. Some sites are not accessible by public transit.

  • Work schedule is during regular business hours (Monday Friday 8:00 AM 5:00 PM).

  • This is a non-supervisory contract role on an as-needed time and materials basis.
