Job Description

Position: Operations and Executive Assistant
Working Hours: Monday to Friday 5:00 AM - 2:00 PM Pacific Time

Overview of the Position

The client seeking a full-time detail-oriented Operations & Executive Assistant to support their team across operations recruiting HR and light business development functions. This role is ideal for a proactive generalist who thrives in a remote environment communicates effectively and manages multiple workflows with minimal oversight.

Specific Duties and Responsibilities:

  • Monitor and manage team inboxes; triage inbound messages and respond or escalate based on priority
  • Coordinate recruitment efforts including sending assessments scheduling interviews and updating hiring managers
  • Assist with monthly payroll coordination and basic HR-related scheduling using internal tools
  • Support outbound prospecting by running follow-up campaigns and conducting light research (LinkedIn etc.
  • Organize travel and logistics for team offsites or retreats
  • Track ongoing tasks and department initiatives to ensure follow-through and accountability
  • Maintain and update internal documentation SOPs and process workflows

Requirements

  • 2 5 years of experience in operations executive assistance HR or recruiting
  • Proficiency with remote work tools (Slack Gmail Google Workspace Trello/Asana etc.
  • Strong written and verbal communication skills in English
  • High attention to detail and ability to manage tasks independently
  • Availability for at least 4 5 hours of daily overlap with Pacific Time (California)

Nice-to-Haves:

  • Experience supporting U.S.-based startups or distributed teams
  • Familiarity with outreach tools like Apollo LinkedIn Sales Navigator or similar
  • Exposure to payroll or finance-related tools and scheduling systems
