JOB TITLE:Secretary- Multilingual

PRIMARY PURPOSE:
The Secretary is responsible for providing clerical support to the Multilingual Department; conveying information regarding school and/or district functions and procedures; ensuring compliance with financial legal and administrative requirements of assigned functions.

QUALIFICATIONS:
Required:
- High School Graduate or GED from an accredited institution
- Three years job related experience
Preferred:
- Bachelors from an accredited college or university
SPECIAL KNOWLEDGE/SKILLS:
- Advanced organizational skills in time management planning prioritizing and
- goal setting
- Effective telephone and interpersonal communication skills
- Proficient skills in file maintenance and accounting
- Advanced skills in Excel PowerPoint and Word
- Excellent written and oral communication skills
- Ability to manage multiple tasks
- Excellent attendance
- Knowledge of state programs and accountability
- Knowledge or ability to learn the different program entities within each Directors/Managers supervision
MAJOR RESPONSIBILITIES AND DUTIES:
- Maintain each supervisors calendar while keeping each supervisor informed of ongoing schedule changes having pertinent materials/data readily available for each appointment
- Skills in drafting various correspondences (letters memos emails agendas )
- Effective communication and interpersonal skills with ability to help resolve and direct problem situations to appropriate staff members
- Make various conference hotel and travel reservations
- Organize meetings workshops and seminars for all Directors and Managers programs which includes reserving and set up of meeting rooms ordering meals assembling preparing and distributing agendas handouts and meeting minutes
- Communicate with external vendors/partners
- Ensure internal employees who may work for C&I get appropriate supplemental pay forms filled out and paid
- Maintain confidentiality of information
- Maintain physical and computerized files
- Prepare purchase orders and travel reimbursement expense payment authorizations
- Receive sort and distribute mail and other documents to each supervisor
- Skills in creating Excel data files
- Skills in drafting PowerPoint presentations
- Communicate with district staff about department information
- Assist Directors and Managers specialists as needed
WORKING CONDITIONS:
The usual and customary methods of performing this job require the following: ability to work and multi-task in a fast-paced high-intensity work environment efficiently and effectively with frequent interruptions. Multi-tasking efficiently in an environment that has frequent interruptions. The ability to maintain emotional control under stress. Job may require prolonged periods of time sitting reaching and repetitive hand motions; prolonged use of computer.
Overtime is required as necessary.
