We are seeking a detail-oriented and proactive HR Admin specialist to join our dynamic team providing HR payroll administrative support.
Main tasks:
- Ensure that documentation and records are kept up to date and in order.
- Give accurate information for requests from staff or managers about payroll or legal issue
- Ensure that Workday is updated in link with payroll changes (maternity leave unpaid leave etc.)
- Insure to be compliance with the labour legal laws of our different countries (data protection labour laws collective agreements etc.) and do some researches (ex. salaries benchmarks legal information etc.)
- Support the International Payroll Manager in different HR projects and tasks
- Follow-up of extra hours and days of holiday in alignment with our internal policies (monthly check reminders to managers etc.)
- Work certificate for Employees when needed.
- Management of interns and their agreements with Universities or Study Centres.
- Preparing the necessary documents for employees: contracts extensions transformations leaves of absence.
- Support to Health & safety documents and tasks when required being in contact with the Managers of the different locations when required.
- Run recurring and/or ad-hoc reports ensuring data accuracy and relevance for stakeholders with excel and through WD data.
- Ticket restaurant card: management creation of new cards and point of contact for all issues for the countries implemented.
- Be part of the GDPR & Compliance team being the point of contact for GDPR projects and tasks related to our employees
- Workday administrator update of new features when required.
- Participation in other HR projects with a generalist approach
Qualifications :
About You:
To be considered for the role you will need the following
Education
- Bachelor degree in labour relations/business or similar relevant field
- HR diploma as a plus
Professional experience and skills
- At least 2 years experience in HR administration is essential.
- Proficiency use of Excel (test will be done during the interview process)
- Experience in Workday as administrator (test will be done during the interview process).
- Knowledge and experience in other HR areas and interest to participate to various HR project and tasks
- Outstanding time management and organizational ability with great attention to detail
Soft skills
- Strong interpersonal (verbal and written) communication skills
- High ethical standard to manage information of a confidential nature
- Ability and interest to multitask
- Very organized person
Language skills
- English: Fluent
- Spanish: Fluent
- French German or Italian: As a big plus
