Job Description

Key Responsibilities

  • Act as the main liaison between employees and travel agency for all travel matters
  • Maintain excellent understanding of travel policy and its application
  • Review and process travel requests ensuring policy compliance
  • Manage Travel Request Forms verify completion and acquire management approvals
  • Coordinate with travel agents for bookings modifications and issue resolution
  • Communicate travel policies and distribute essential documentation
  • Assist with travel changes cancellations and re-bookings
  • Process and reconcile travel-related invoices
  • Support annual corporate rate negotiations and vendor management

Other Responsibilities

  • Contribute to business continuity planning for travel disruptions
  • Support transition to new travel management providers
  • Assist in evaluating and selecting new travel solutions
  • Support implementation of self-service booking systems
  • Help deliver staff training on new booking platforms
  • Provide support during change management stages
  • Troubleshoot platform issues and coordinate with vendors
  • Collect feedback to improve booking experience
  • Process and track Workspaces team invoices and expenses
  • Assist with travel logistics for workplace projects including consultant visits and site inspections
  • Support Workspaces team with workshop coordination room bookings and event essentials

This role supports the APAC Head of Workplace Strategy in managing office environments.


Qualifications :

Crucial Qualifications Skills and Experience

  • In-depth experience in corporate travel coordination or administration
  • Demonstrated knowledge of travel booking systems and relevant platforms
  • Strong attention to detail with excellent organisational and time management skills
  • Proficiency in Microsoft Office suite especially Excel

Other Qualifications Skills and Experience

  • Experience with travel policy implementation or enforcement
  • Knowledge of travel industry vendor negotiations and relationship management
  • Prior experience with travel management system transitions or implementations
  • Background in workspace coordination or office administration
  • Experience with expense management software
  • Knowledge of APAC regional travel requirements and regulations
  • Customer service experience in a professional environment
  • Experience crafting training materials or documentation
