    QUALIFICATIONS
    1. High School Diploma or equivalent
    2. Minimum of two years of experience in an office with considerable public contact or an equivalent combination of experience education and/or training that demonstrates desired knowledge skills and abilities
    3. Two years of administrative assistant experience and/or experience in an educational institution preferred
    4. Working knowledge of computer word-processing and Microsoft Office applications and Google
    5. Knowledge skill and or experience in the implementation of Positive Behavior Intervention Supports (PBIS) strategies or be willing to receive training in those strategies
    6. Ability to obtain a valid Arizona IVP Fingerprint Clearance Card

    12. Utilize with fidelity the District Positive Behavior Intervention Support (PBIS) program at the building level.
    13. Ability to understand and maintain students and parents rights to confidentiality and not violate those rights; nor discuss students in inappropriate places or with anyone not in direct contact with such individual students.
    14. Ensure information obtained through the course of duties associated with this position is held in the highest of confidentiality.
    15. Perform all duties in accordance with Federal and State laws district procedures and Board policies; including mandatory reporting procedures.

    PRIMARY DUTIES AND RESPONSIBILITIES
    1. Perform confidential and routine Administrative Secretary assignments applying knowledge of department processes and school district policies and procedures applicable to the function.
    2. Complete office and secretarial duties including greeting visitors answering telephones and inquiries and providing general information relevant to the site.
    3. Maintain calendar and schedule for the ESS Director; arrange appointments conferences travel and interviews as requested.
    4. Prepare agendas various state and federal reports and other resources for the department and Director as requested.
    5. Process incoming correspondence and mail compose correspondence independently and type material from rough drafts.
    6. Obtain gather and organize pertinent data as needed and put it into usable form.
    7. Prepare capital and supply requests and other site purchases and work orders maintain records of budgetary transactions. Assist Director with budget planning and oversight.
    8. Follow confidential practices and procedures related to file storage and retention.
    9. Maintain document files and records for the purpose of providing up-to-date accounting of departmental budgets.
    10. Assist Director in daily oversight of office operations aligned with procedures.
    11. Delegate tasks as applicable to clerical office personnel.
    12. Maintain a regular filing system and a set of locked confidential files.
    13. Oversee the timekeeping/leave system process.
    14. Maintain key logs checkout equipment to staff etc.
    15. Communicate with Federal State and local representatives and responds to inquiries of staff other educational institutions the public parents and/or students for the purpose of providing information and/or direction as may be required.
    16. Evaluate situations (e.g. involving other staff students parents the public etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
    17. Communicatefrequently to the Director any concerns needs and ongoing status of projects.

    PHYSICAL DEMANDS
    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

    While performing the duties of this job the employee is required to reach with hands and arms sit stand walk stoop and bend as necessary. The employee maylift carry push pull or otherwise move objects weighing a minimum of 10 pounds and could occasionally lift or move up to 20 pounds. The employee will read correspondence and computer screens and use the telephone.

    WORK ENVIRONMENT
    Indoor office environment. This position regularly works indoors. The noise level in the work environment is quiet to moderate and may become excessively noisy at times. Will have substantial contact with staff and the public.

    ORGANIZATIONAL RELATIONSHIPS
    The ESS Administrative Secretary reports to the Director of Exceptional Student Services. The ESS Secretary will interact cooperatively with all other staff positions. All elements of good human relations are essential in this position.

    TERMS OF EMPLOYMENT
    INITIAL WAGE PLACEMENT PLAN:Starting at$15.85 Per Hour
    WORK YEAR: 12 Months/8 hours
    FLSA Status: Non-exempt
