Job Description

PHMC is proud to be a leader in public health. PHMC requires all employees to be fully vaccinated for COVID-19 before the first day of employment. We will offer the vaccination at no cost via our Health Centers.

SERVICE AREA: Community Mental Health (CMH)

PROGRAM: Child First

RESPONSIBILITIES:

  • Coordinate and process all referrals and enter new admissions and discharges in the electronic health system as well as the grant management system.
  • Prepare reports for outside agencies stakeholders and funders as appropriate; ensure reports are maintained in an accessible manner and stay abreast of changes in reporting requirements.
  • Ensure adherence to all billing data collection and reporting procedures as determined by funding agencies and program policy.
  • Assist in the daily operations of the program to ensure quality client services and program integrity including general clerical functions such as photocopying filing labeling and preparing/sending correspondence reports and other documents as needed.
  • Attends meetings related to data reporting held by various stakeholders/funders.
  • Complies with data entry procedures and security policies.
  • Preserves confidentiality and adheres to HIPAA regulations.
  • Helps train staff in program policies procedures and documentation requirements.
  • Process track and reconcile use of Family Support funds.
  • Coordinate psychiatric scheduling and referrals.
  • Complete all necessary non-clinical paperwork related to new and discharged clients.
  • Attend program trainings as directed.
  • Ensure compliance with agency policies and procedures regarding confidentiality and reporting suspected abuse.
  • Assume other responsibilities as needed or assigned.
  • Manage Child First Learning Collaborative requirements and scheduling.
  • Manage inventory of program assessments.

Contributing To The Team

  • Participates in regular meetings with staff to ensure priorities are clear coordination is good and communications are open. Develops additional methods for ongoing effective communication
  • Cooperates and communicates as a multidisciplinary staff team member through formal meetings informal consultations and committee participation.
  • Models traits of a responsible team member by executing job responsibilities open communication and good follow-through; supports team members to do the same
  • Responds promptly to the concerns and interests of the clients parents guardians funding entities and other PHMC staff

  • Demonstrates commitment to being trauma-informed and maintaining a therapeutic environment and community that promotes safety and nonviolence as the basis for all we do with clients and staff
  • Demonstrates knowledge and utilization of trauma-informed practices including emotional intelligence effective communication understanding of impact of trauma on development strengths-based and person-centered practice resilience focus and commitment to growth and change

Administrative Activities

  • Ensures compliance with all PHMCs policies and procedures including confidentiality and acting as a mandated reporter in accordance with the law policies and procedures.
  • Implements all documentation requirements; ensures that reports are complete thorough timely and written in the prescribed format
  • Other duties as assigned

SKILLS:

  • Strong organization skills
  • Strong communication skills
  • Strong time management skills
  • Strength in Microsoft Word Excel Outlook and other programs as needed
  • Basic fiscal management skills
  • Able to work effectively in a team setting
  • Familiarity with basic clinical documentation practices
  • Familiarity with managed care organizations especially CBH
  • Familiarity with the Department of Behavioral Health
  • Experience working effectively with diverse populations

EXPERIENCE:

  • At least 1 year of experience in social service administrative services

EDUCATION:

  • Associate degree required in business administration behavioral health or related field
  • Bachelors degree preferred

SALARY GRADE: 16
