Job Description

Job Title: Assistant to the Chief Operations Officer

Supervisor: Chief Operations Officer

FLSA: Non-Exempt

Contracted Days: 240 days

Job Summary

Provide administrative and technical support for the Operations Department including Facilities Maintenance Services Safety and Risk Management and Transportation.

Qualifications

  • College Degree preferred.
  • At least one year experience or ability to learn the use and maintenance of components of technical equipment functions.
  • At least three years in general office procedures.
  • Accurate written communication skills required.
  • Proficient command of the English language required.
  • Accurate grammatical skills required.
  • Word processing experience required.
  • Office management experience helpful.
  • Ability to perform under extreme pressure meet all deadlines for annual projects and take charge of duties needing completion without supervision.
  • Such alternatives to the above qualifications as District Administration may find appropriate and acceptable.

Essential Duties

  • Maintain badges for employees; create badges for non-employees Beck and Maintenance employees
  • Key background checks on volunteers and employees
  • Manage volunteer list
  • Maintain Vector reports for incidents metal detectors drills injuries CPI
  • Maintain Safety Data Sheets districtwide (Vector)
  • Schedule security for athletic events and after-school events
  • Process purchase requisitions and invoices
  • Key absences
  • Monitor all camera systems schedule repairs and replacements for bus and school camera systems
  • Locate and download video from school and bus camera systems
  • Process time sheets for Payroll
  • Maintain property liability and vehicle insurance policies; submit claims
  • Balance P-cards and submit paperwork to Procurement
  • Manage and maintain call list assign and maintain codes assist with and schedule maintenance and repair for all fire and intrusion alarm systems districtwide.
  • Maintain inventory schedule repairs and order replacements for all school and bus radios
  • Manage Fixed Assets
