The role involves managing calendars arranging meetings handling travel arrangements and overseeing deal processes. Analytical skills are essential for research and effective communication. The Executive Assistant supports senior bankers requiring confidence proactive thinking organizational skills analytical and technological competencies and adherence to confidentiality protocols.
As an Executive Assistant you will be:
Managing and coordinating various calendars and synchronizing conflicting schedules for team calls meetings and events.
Coordinating with the Conference Center team to reserve conference rooms and catering for internal and external meetings / events catering locations vendors etc.
Arranging domestic and international travel including preparing personalized itineraries; staying current and knowledgeable on all Travel policies procedures and changes.
Preparing processing submitting and tracking expenses for designated bankers; staying current and knowledgeable on all Travel policies procedures and changes.
Supporting business development and client activity for senior bankers including meeting scheduling creating and sending NDAs supporting logistics for industry events and assisting with deal management throughout the process.
Focusing on building strong relationships with bankers and peers through collaborative efforts and teamwork.
Maintain data integrity with accurate Salesforce entries and continuous data clean ups.
Working with Mailroom staff to organize and prepare packages for overnight shipping.
Covering for other assistants in their absence.
Representing Baird in a professional manner both internally and externally through telephone and in-person contact with clients. Provide general organizational assistance and various other duties as assigned.

What we look for:
A high school diploma or equivalent education is required.
At least 5 years of proven administrative experience ideally within a financial setting.
Ability to coordinate complex calendars and manage diverse schedules for multiple Bankers.
Detail-oriented with strong organizational skills capable of prioritizing multiple tasks simultaneously.
Must be a proactive quick-thinking self-starter with excellent problem-solving abilities.
Ability to work independently while maintaining speed and accuracy.
Professional demeanor complemented by strong oral and written communication skills.
Proficient in Microsoft Office applications.
Experience with travel/expense systems (Concur) is preferred.
Familiarity with CRM systems (Salesforce) is preferred.
Experience with AI technologies (such as Copilot ChatGPT etc.) is a plus.
Additional Information:
Hybrid opportunity: in office days Tuesday Wednesday Thursday; remote days Mondays Fridays. Subject to change based on business need.
