Job Title: Office Assistant
Location:1112 Hawkeye Drive Hiawatha IA 52233
Reports To:Owner
Job Type: Full-Time (MondayFriday 7:30 AM 4:30 PM with a one-hour lunch break)

Position Summary:

We are seeking a highly organized proactive Office Assistant to support our daily operations and contribute to the success of our sales and production teams. This individual will play a key role in managing communications scheduling customer experience and team support functions. The ideal candidate is detail-oriented customer-focused and capable of thriving in a dynamic team-oriented environment.

Key Responsibilities:

Administrative & Communication:

  • Answer and direct incoming calls professionally and courteously.

  • Schedule leads and appointments for estimates and job starts.

  • Prepare and manage job files from sales hand-off to production management.

Sales & Customer Service:

  • Ensure a smooth and positive customer experience from initial contact through project completion.

  • Communicate effectively with customers to confirm appointments and follow up on project status and satisfaction.

Team Operations Support:

  • Support the recruitment onboarding training and retention of painting crews.

  • Maintain documentation and track progress of new hires and team members.

  • Assist in coordinating training sessions and ongoing team development.

Performance & Culture:

  • Demonstrate strong performance management practices.

  • Provide coaching and feedback to support a high-performance and positive team culture.

  • Help uphold operational standards and best practices across departments.

Qualifications:

  • Proven experience in an administrative operations or office support role.

  • Excellent communication and interpersonal skills.

  • Strong organizational and time-management abilities.

  • Proficient in Microsoft Office Suite (Word Excel Outlook); experience with CRM or job scheduling software is a plus.

  • Ability to multitask and prioritize in a fast-paced environment.

  • Team player with a positive proactive attitude.

Preferred Skills:

  • Experience in the painting construction or home services industry.

  • Background in HR support training or performance coaching.

  • Bilingual (English/Spanish) is a plus.

Compensation & Benefits:

  • Schedule: Full-time Monday through Friday 7:30 AM 4:30 PM (one-hour lunch)

  • Pay: Weekly

  • Benefits:

    • Health vision dental and life insurance

    • Paid holidays

    • Earned paid time off (PTO) of up to 80 hours per year
