    PAY GRADE: PS 4 SALARYRANGE:$17.43 Min $26.15Max

    PRIMARY PURPOSE:
    The primary function of the Special Education Records Secretary is to be responsible for the documentation of students served by special education and verifies that special education official folders contain all required items.

    QUALIFICATIONS:
    TEA certification requirements
    High School Graduate or GED
    Ability to type 60 words per minute ability to operate a computer experience in performing clerical work
    A thorough knowledge of operations functions and general scope of authority of the school administration and School Board
    The ability to handle delegated administrative detail to receive and dispose of complaints and other matters
    The ability to meet the public in a pleasant composed and cordial manner and to speak clearly and effectively
    The ability to establish and maintain effective working relations with all district employees and the general public
    The ability to write clear and concise memoranda directives or letters without close supervision

    MAJOR RESPONSIBILITIES AND DUTIES:
    Prepares written records and reports of various types including correspondence reports notices and recommendations.
    Maintains an efficient computerized system of pupil accounting.
    Maintains a regular filing system as well as a set of secured confidential files.
    Files all career and technology assessment reports.
    Places and receives telephone calls records messages and processes messages according to established procedures.
    Follows procedures for ordering supplies and requesting forms.
    Obtains gathers and organizes pertinent data as needed and puts it into usable form
    Maintains an up to date list of students tested during the year.
    Type letters of request for information.
    Completes reports as requested regarding the students served by special education
    Acts as the Confidentiality Officer for the special education official folders checks in/out folders verifies that official folders are available at all times
    Files papers in appropriate sections in folders.
    Updates PEIMS information on a daily basis in Region I database and in-house database.
    Keeps an inventory of needed supplies and materials and follows established procedure for requesting supplies and materials for the next school year.
    Completes and/or supervises the completion of the process for the paperwork involved with assessment:
    all required forms in official folder; copies for campus folder; sorts information by section; files official folders.
    Assigns duties to and supervises assigned part-time staff members.
    Sends information to school district staff parents and others from the special education official files as requested.
    Processes all assessment reports for assigned campuses.
    Receives visitors ascertains the purpose of the visit attends to visitors business requests or refers him/her to the proper person or office.
    Maintains effective public relations.
    Keeps informed of all special education procedures involving special education records andappraisals.
    Participates in clearance procedures for special education staff members.
    Keeps informed on local state and federal laws rules and regulations explains applicableregulations and processes to appropriate people.
    Performs all duties in a safe manner to avoid injury to oneself and/or to others.
    Performs other related duties as assigned.
