Description:
As an Administrative Assistant based in our Barcelona Office you will join a dynamic and international team of professionals that focuses on assisting the employees of our Front Office (Underwriting Department). You will directly report to the Financial Lines Administrative Centre Manager and perform administrative tasks as well as support the teams business development goals. You will be key in helping to build profitable relationships with brokers and insureds and your role will fully support and comply with the companys objectives and standards.
Main responsibilities:
- Arranging business trips through our external travel agency
- Preparing and submitting employees expense reports
- Covering reception (occasionally)
- Assisting the underwriters of your region in:
- Entering insurance policy details in the policy administrative system
- Reviewing / manually preparing invoices and following up on overdue and incorrect payments
- Creating and maintaining the clients folder
- Maintaining the policy administrative system up to date
- Ensuring legal and compliance requirements are fulfilled in the policy documentation and policy administrative system
- Participating in optimizing the operational processes as required
Challenges:
- Dealing with a broad spectrum of cognitive tasks in a time-sensitive environment
- Managing multiple policy administrative systems and databases
- Learning many procedures and following them accurately
Requirements:
- Experience in an Administrative position
- Administration-related degree
- Fluent in English and Spanish. More languages are a plus
- Word and Excel (expert level)
- Good PC and internet research skills
