Office Coordinator
Location: Denver CO
Reports To: HQ Culture Manager
Compensation:Pursuant to Colorado regulations if this job is performed in Colorado the compensation range is $17.84 - $24.54 per hour.
Job Type: Part-Time In-Person
Hours: Monday - Friday 8:00 AM - 2:00 PM (30 hours per week). Must be available for extended hours as needed for pre-scheduled events.
Position Summary:
This part-time position provides an exciting opportunity to support our office administration. Key responsibilities will include managing admin side such as supply ordering event preparation and vendor/building coordination. This role is perfect for a detail-oriented individual looking to gain practical experience in a fast-paced environment.

The Office Coordinator will work with our People and Culture team and will have the opportunity to interact with a variety of business stakeholders including in operations investments marketing and real estate services including senior leadership. Responsibilities (Including but not limited to):
- Office Environment Oversight:
- Manage and maintain inventory of office and kitchen supplies including proactive ordering to ensure availability.
- Ensure the office kitchen and common areas are well-stocked organized and presentable.
- Prepare meeting rooms and common spaces for client visits internal meetings and company events.
- Event & Engagement Coordination:
- Assist in the planning coordination and execution of company events meetings and team member engagement initiatives within the HQ Office.
- Coordinate and place catering orders for meetings and events.
- Team Member engagement initiatives and communications including:
- Drafting and distributing company-wide communications including newsletters emails and flyers to keep team members informed and engaged.
- Assisting in the coordination and logistics of company town hall meetings.
- Assisting in social media committee ideation minor execution of media.
- Additional Team Member engagement initiatives and communications to include office events and recognition program announcements.
- Administrative & Document Management:
- Email management and oversight
- Process physical documents including obtaining signatures and ensuring proper handling (scanning sending etc.)
- Scan organize and electronically file/send documents and other materials with attention to detail.
- Manage all incoming and outgoing mail and packages (e.g. FedEx certified mail) including sorting scanning and distributing daily mail.
- Perform notary duties including verifying the authenticity of signatures administering oaths and certifying documents in accordance with state regulations.
- Vendor & Building Coordination:
- Serve as a point of contact for and coordinate with various office vendors (e.g. maintenance cleaning supplies).
- Support building management functions including team member and guest building access and addressing facilities-related inquiries.
- Other Duties:
- Additional support of People & Culture processes and systems as assigned.
- Perform other administrative tasks as assigned.
Qualifications:
- Location: Denver CO (This job does not allow for remote work)
- Education: High school diploma or equivalent required.
- Tech-Savviness: Proficient in Google Suite. Able to use a computer scanner/copier iPad etc.
- Organizational Skills: Strong organizational and time-management skills with the ability to prioritize tasks effectively and manage multiple responsibilities.
- Attention to Detail: Meticulous attention to detail especially when handling documents data entry and coordinating logistics.
- Communication Skills: Excellent written and verbal communication skills with a professional and courteous demeanor.
- Confidentiality: Proven ability to handle confidential information with discretion and professionalism.
- Proactive & Eager to Learn: A proactive mindset a strong desire to learn and a willingness to take initiative.
- Team Player: Ability to work effectively both independently and as a collaborative member of a team.
- Work Authorization: Must be legally authorized to work in the United States.
- Drivers License: must have a valid drivers license and liability insurance.
Preferred Qualifications (Nice-to-Haves):
- Previous experience in an administrative or office support role.
- Familiarity with HRIS systems or ticketing systems is a plus.
- Experience with event planning or coordination.
- Experience or interest in social media or photography.
- Customer service experience with the ability to interact professionally with team members clients and vendors.
- Ability to thrive in a fast-paced and dynamic environment.
- Notary Public: Must hold and maintain a valid Notary Public commission in the state of Colorado. Cardinal will pay for a notary license upon hiring if needed.
- Associates degree or some college coursework in business administration or a related field.
