Our client a global leader in producing immersive live meetings events and expositions is seeking a highly organized and detailoriented Exhibitor Services Logistics & Purchasing Coordinator. This vital role supports the seamless execution of largescale expos and tradeshows by managing vendor relationships shipping logistics purchasing and financial reconciliation.
This multifaceted position requires someone with a proactive mindset and strong communication problemsolving and negotiation skills. The successful candidate must be able to manage multiple tasks efficiently in a fastpaced deadlinedriven environment.
Key Responsibilities
Exhibitor Services
- Serve as the main liaison between exhibitors EACs and General Contractors.
- Collect and integrate all relevant show information into internal systems.
- Track order deadlines and assist project managers with documentation and service needs.
- Confirm orders track I&D progress and analyze postshow invoices for cost accuracy.
Shipping Logistics
- Plan and coordinate all event logistics including setup teardown and transportation.
- Work with vendors to ensure timely costeffective deliveries and services.
- Manage inventory and maintain detailed logistical plans and timelines.
Purchasing & Financial Reconciliation
- Procure goods and services for events and office operations.
- Compare vendor quotes negotiate favorable pricing and process POs.
- Maintain purchasing records and ensure timely delivery of all items.
- Support internal teams by understanding and fulfilling purchasing needs.
Requirements
Ideal Qualifications
- 2 3 years of experience in exhibitor services logistics purchasing or a related field.
- Excellent multitasking prioritization and organizational skills.
- Strong communication and customer service abilities.
- Proficient in Microsoft Office (Word Excel Outlook) and Adobe Acrobat.
- Familiarity with inventory or purchasing software is a plus.
- Independent yet collaborative work ethic.
- Willingness to occasionally work evenings/weekends during events.
- Ability to schedule time off during slower seasons (typically early summer).

Great to have: AVPro Edge and Visionary Solutions for VoIP / switchers Advanced knowledge and hands-on experience with AV equipment Advanced knowledge of TCP/IP networking, switches, routers, firewalls are preferred. Advanced working knowledge of computers (Windows-based) and software. Maintain a positive attitude, strong work ethic, and embrace a team-centric environment. Ability to read, analyze, and interpret complex documents including product specifications, wiring diagrams, and architectural drawings. Ability to respond effectively to sensitive customer inquiries or complaints. Strong interpersonal and communication skills are required. Valid driver s license with minimum 3-year clean driving record. Infocomm CTS certification (within 6 months of employment start) & CTS-I within 12 months Maintain and/or acquire OSHA 10 Hr construction within 3 months from employment start.
