    General Summary:

    The Administrative Assistant II will be responsible for assisting the Department Manager and all other department personnel with all clerical and administrative functions within the department. This position will also have primary responsibility for telephone receptionist duties. This position will temporarily perform the duties of other office personnel during times of excessive workload vacations or other absences. The Administrative Assistant II reports to the Department Supervisor or Manager.


    Preferred Job Skills:

    • Able to demonstrate advanced computer and keyboard skills to include MS Office Suite.
    • Acute attention to detail.
    • Ability to maintain required levels of confidentiality when entrusted with sensitive business customer or employee related information.
    • Ability to manage multiple responsibilities in a fast paced environment.
    • Able to maintain high levels of productivity meeting deadlines while maintaining accuracy.
    • Effective and professional communicator both written and verbal.
    • Able to maintain a pleasant customer service attitude while under pressure.
    • High level of professional business acumen.


    Mandatory Hiring Requirements:

    References Background Check Drug Screen Testing Valid Drivers License.


    Responsibilities:

    • Assist the Department Head with all facets of departmental operations.
    • Responsible for routine clerical departmental duties as assigned by Department Head.
    • Greet and manage incoming calls.
    • Input payroll data from time sheets into the payroll system.
    • Process purchase orders.
    • Process Accounting close out requirements (Credit Card receipt processing Invoice Approval process).
    • Process weekly invoicing.
    • Ensure all office common areas are organized and ready for use (Conference room kitchen copy room etc.).
    • Assist department personnel with administrative functions.
    • Provide administrative support for department staff to include reports spreadsheets labels schedules communications filing etc.
    • Process incoming and outgoing mail and packages.
    • Become sufficiently familiar with other office support to allow for reliable support.
    • Additional responsibilities may be assigned as needed by the Department Head.


    Position Requirements:

    License: Valid state drivers license as required by job conditions or by the company.

    Certification: None required.

    Education: High School Graduate or GED.

    Experience: 1 3 years of general office experience.


    Working Conditions:

    Work in a climatecontrolled office setting with varying degrees of stress and time pressure.

    Considerable amount of time making repetitive motions.

    Considerable amount of time sitting.

    Considerable amount of time using telephone and computer.

    Sounds noise levels may be distracting or uncomfortable.

    Required Physical/Mental Functions:

    Comprehend and practice safe work procedures as outlined in Company Safety Handbook.

    Operate company vehicle.

    Read and interpret instructional manuals and written instructions.

    Must hear and see well (either natural or with correction).

    Must be able to bend stoop squat kneel push pull and reach overhead.

    Able to lift objects weighing up to 30 pounds with frequent lifting and carrying of objects weighing up to 20 pounds.

    Tolerant to prolonged sitting.

    Repetitive use of arms hands and finger
