Summary:
The Operational Manager will oversee the daily functions of the campuses assigned to ensure a smooth and efficient running of all activities. This role involves managing facilities meeting with staff and vendors and implementing systems to support the schools mission and goals. The ideal candidate will have strong organizational skills a knack for problem solving a positive mindset strategic thinking and a passion for education.
Qualifications/Education:
- Bachelors degree in Education or Business Administration from an accredited university required
- 35 years of work experience preferably in education and/or business operations management
Major Responsibilities and Duties:
Leadership and Development
- Support school Principal by providing regular checkins professional development opportunities and feedback to ensure high performance and growth.
- Foster positive relationships with community stakeholders district leadership and external service providers ensuring that the schools operations are wellsupported and aligned with community expectations and standards.
Facilities Management
- Work with facilities to oversee the maintenance cleanliness and safety of the school facilities.
- Coordinate with custodial maintenance staff contractors and vendors to ensure timely and effective resolution of issues.
Operational Efficiency
- Streamline operational processes to improve efficiency and effectiveness.
- Works with school Principal to manage arrival and dismissal and ensure a positive and safe experience for students and families.
- Manages Child Nutrition day to day logistics (meal card replacement supper rosters); works closely with the Child Nutrition Manger.
- Ensure that the campus assigned follows PEIMS Finance and Curriculum procedures.
- Manage the procurement and inventory of supplies and equipment.
- Oversees purchase orders timesheets and invoice data entry and works with the back office provider to ensure accuracy.
- Develop and maintain operational budgets and track expenditures.
- Regularly audit operational systems for continuous improvement and adhere to best practices.
- Ensure written policies are kept current in the face of changing practices and that all staff are regularly trained.
- Identify operational risks and implements risk mitigation strategies.
Administrative Support
- Support school Principal on professional development days by helping organize it.
- Ensure that all administrative functions are carried out efficiently including recordkeeping and correspondence.
- Assist in the development and implementation of school policies and procedures.
- Ensure the main office is welcoming to all community members and that parents have positive interactions with main office staff.
- Ensures all campus buildings are opened and closed efficiently and in accordance with school hours
- Will provide assistance as needed with absence management.
Safety and Compliance
- Ensure that district safety and security procedures are followed.
- Assist in enforcing crisis management strategies and preparing the school for potential emergencies. Collaborate with leadership to ensure response procedures and test systems are adhered to.
- Works with the fire alarm company fire department and fire Marshall to ensure all fire alarms are inspected and operational and our fire binder (with drills) is fully compliant.
- Ensure straight confidentiality of personal student and staff information and data.
- Ensure compliance with any audits from TEA TDA and the Health Department.
Crisis Management
- Develop crisis management processes and guides short and longterm solutions.
- Collaborate with the school principal in handling crisis to ensure they know key actions and steps.
- Develop a plan to mitigate potential future issues and recommends a course of action to the school principal.
Event Coordination
- Plans monitors and coordinates school events including meetings professional development sessions conferences fundraisers and extracurricular activities alongside school principal and parent liaison clerk.
- Work with School leadership to support special programs and initiatives.
- Gives parent tours for potential student prospects.
Stakeholder Communication
- Serve as a liaison between the school and external stakeholders including parents community members and vendors.
- Address and resolve any operational issues or concerns raised by staff students or parents.
- Leads professional development sessions with staff on operations including sessions on technology use supplies and inventory and other operational sessions.
Technology Management
- Oversee the implementation and maintenance of school technology systems.
- Ensure that technology resources are available in functioning for all staff and students.
- Track technology including inventory repairs cost and maintenance.
- Work with our IT contractors to ensure technology supports learning and works well.
Student Enrollment and Attendance
- Maintain visibility into enrollment metrics and work closely with leadership to ensure new families are effectively onboarded.
- Monitor average daily attendance (ADA) and work with school leadership to ensure the implementation of ADA strategies. Ensure compliance with state and federal attendance regulations.
Other
- Attend and participate in faculty meetings and serve on staff committees as required.
- Manages any school based social media communications/postings.
- Maintain confidentiality.
- Exercise professional judgment in absences; be punctual to work meetings and appointments.
- Follow district safety protocols and emergency procedures.
- Perform other duties as assigned by Superintendent.

Computer telephone printer copier fax machine calculator and other standard office equipment and peripherals.
Working Conditions:
Occasional absences are understood but regular attendance is required. Frequent districtwide travel and occasional statewide travel is required. Employee may work prolonged or irregular hours. While performing the duties of this job the employee is regularly required to sit occasionally bend/stoop push/pull and twist. Repetitive hand motions including frequent keyboarding and use of mouse is required with occasional reaching. The employee must occasionally do light lifting and carrying (less than 15 lbs.). The employee is occasionally required to stand walk and reach with hands and arms. Employee must work with frequent interruptions and maintain emotional control under stress.
In accordance with TEA regulations STET/HMPS will provide virtual/distance learning when it is necessary. This platform will be conducted either from a classroom or a location other than a school building as approved by the Superintendent. Employees will be subject to virtual/distance learning policies and procedures as set forth in the employee handbook.
