Job Description

40% Event Planning
  • Collaborate with team members and other departments to develop staff trainings.
  • Help with creating event budget timeline and tasks.
  • Research and work with vendors to create an optimum event experience while meeting budget and timeline goals.

30%Logistics

  • Work with facilities on setting up event layouts.
  • Greet external clients and communicate all event safety guidelines.
  • Set up beverages linens and other day of additional services.
  • Troubleshoot any issues that arise during the event.


20% Administrative Tasks

  • Answer the department phone.
  • Maintain events calendar and log.
  • Assist with marketing and create event signage.
10% PostEvent Operations
  • Assist in gathering feedback from attendees and stakeholders.
  • Help with postevent reporting and analysis.
  • Coordinate followup communications and thankyou notes.

  1. Prior experience using a computer and Microsoft Word Outlook and Excel as outlined in application materials.

  5. Must be able to work occasional evenings and weekends.

  1. Previous work experience requiring demonstrated initiative and independent judgment as shown on application materials.

Position Overview
The KU Edwards Campus Events Team is seeking an enthusiastic events intern for the summer semester. The internship is designed for a current KU student interested in pursuing a career in events. They will have the opportunity to engage in all aspects of internal event planning and external client event services. This position will work on all event phases including planning organizing day of logistics and postevent operations. This position is in person and will report to the Manager Campus Events.

Position Requirements
During the semester term of the appointment the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be preenrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions
(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/nonexempt position. A student employee cannot hold an hourly/nonexempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
