Description

HeartShare St. Vincents Services (HSVS) Nuevo Camino program is dedicated to providing 38 unaccompanied minors ages 512 with a supportive nurturing environment through transitional foster homes daily education Monday Friday and supportive wraparound services in the Sunset Park section of New York City. Our program is rooted in ensuring that service delivery is trauma informed culturally appropriate and tailored to the needs of each child while maintaining all program requirements of ORR.

The staff coordinator position is responsible for providing support to training initiatives for program staff and coordinating the certification and background check process to ensure compliance with funder requirements. This role entails overseeing the development of trainings used for staff and foster parents coordinating with management to identify professional development opportunities and facilitating trainings. The staff coordinator collaborates with HR to organize employee training files and background check clearances to ensure compliance.

Primary Responsibilities and Essential Functions of Position:

  • Provide support to Program Officers and Directors in oversight of program quality and quality assessment tools.
  • Create training schedules track and create reports on outcomes of all training and support training records for individual department.
  • Train new employees in agency Administration for Childrens Services (ACS) and Office of Children and Family Services (OCFS) and Office of Refugee and Resettlement (ORR) policies and procedures and use the best training methods for a specific purpose or audience.
  • Works closely with program management to identify and uphold all program training requirements.
  • Organize and maintain all personnel files to ensure records on training program attendance trainings offered and evaluation measures.
  • Assist staff with completion of sensitive background check documents to ensure quality prior to submission.
  • Serve as a liaison with external stakeholders to ensure timely submission of required documents for background check
  • Assist with various programmatic communication processes and tools including program memos network communications informational materials and other communications and tools.

Qualifications

  • Bachelors degree required

  • Minimum 1 year of experience in administrative/data entry support

  • Minimum 1 year of experience facilitating trainings

  • Strong written and verbal communication skills; responsive and professional with internal teams and external stakeholders

  • Proficient in webbased communication tools such as Microsoft Teams and GoToMeeting

  • Demonstrated project management skills; capable of coordinating multiple projects simultaneously

  • Excellent organizational leadership and interpersonal skills

  • Knowledge of learning management systems (LMS) such as HSLC and familiarity with instructional design and elearning platforms

  • Commitment to the mission and values of ORRAccompanied Minors with the ability to model those values in professional relationships

  • Must provide proof of COVID19 vaccination prior to start date (accommodations available for medical or religious reasons)
