Job Description

JOB SUMMARY

The UConnURI Navy STEM Coalition within the National Institute for Undersea Vehicle Technology (NIUVT) at the University of Connecticut seeks qualified applicants for a Business Operations Specialist 1 position within the College of Engineering. The UConnURI Navy STEM Coalition seeks to establish a longterm STEM pipeline program for naval related careers in Southeast New England. The program engages STEM talent K12 through graduate school in innovative navalfocused activities and handson projects through participation from the regional Navy community to provide early and frequent interaction and ultimately retention of students from this community. Working under the direction of the ANCHOR leadership the successful candidate will provide administrative support and significant program support to help administer the newly funded Advancing Naval Careers Through Higher Education Outreach and Research (ANCHOR) in Science Technology Engineering and Mathematics (STEM) awarded to the University of Connecticut.

DUTIES AND RESPONSIBILITIES

  • Assists students staff faculty and others with a wide range of administrative and fiscal matters.
  • Corresponds with administrators from other units institutions and serves as a liaison between the Center faculty members and other University offices.
  • Acts as fiscal manager for and resource to faculty members team members and program leaders responsible for the use of ANCHOR funds.
  • Processes and monitors transactions for ANCHOR programming.
  • Meets with team to explain services and procedures communicates financial information and assists with transaction documents as needed.
  • Resolves outstanding issues on fiscal accounts including followup on problems to ensure timely and accurate completion of work.
  • Prepares comprehensive budgets and financial statements.
  • Complies with federal state and University standards and regulations.
  • Communicates with centers units departments and colleges for resolution of ANCHOR contract related concerns.
  • Develops and implements standard policies and practices for a variety of purchasing and reporting activities.
  • Supervises administrative support and is responsible for all unit purchases.
  • Within unit and University expectations ensures compliance with established internal controls and departmental administrative policies and procedures including maintenance and coordination of center records and deliverables.
  • Works on special projects as directed by the supervisor.
  • Performs related work as required.

MINIMUM QUALIFICATIONS

  • Bachelors degree in a related field.
  • Minimum of two years of related experience.
  • Demonstrated effective and clear written communication skills.
  • Experience using Microsoft products and software applications.
  • Proven time management skills in a fastpaced highvolume environment.
  • Experience working both independently on routine tasks and in a team setting while regularly exercising sound judgment.
  • Demonstrated interpersonal skills with the ability to establish and maintain positive working relationships with diverse student administrative and faculty populations.
  • Experience working with federal grants and contracts.
  • Experience working with financial enterprise systems and project management.
  • Proven experience in fiscal operations including financial reporting and financial management.

PREFERRED QUALIFICATIONS

  • Three or more years of related experience.
  • Experience working in a higher education setting preferably within a scientific institution/unit.
  • Knowledge of federal and state laws regulatory requirements and University policies governing the receipt and use of funds.
  • Experience working with UConn electronic systems (KFS WebFOCUS HuskyBuy CoreCT etc.)
  • Direct experience with documents and stages in the revenue process (e.g. quotes purchase orders service agreements invoices accounts receivable etc.).
  • Experience working with the naval or defense industries or military personnel.

This is a fulltime enddated position with the possibility of renewal subject to performance and funding.
