JOB DESCRIPTION

The person in this position will be expected to manage and maintain student records transcripts test results and other pertinent student information maintain records for college applications assist with withdrawal and registration of students input grades into the computer type correspondence and perform other jobrelated duties as assigned.

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. CONDITIONS OF EMPLOYMENT

  1. Successful completion of training or certification programs related to position. This could include but is not limited to one of the following: High School Diploma GED AA BA etc.
  2. A transcript of the highest level of education must be provided within thirty (30) days of employment.
  3. Bilingual Skills Required Must pass STAMP bilingual assessment in Spanish.
  4. Must be able to perform the essential functions of the position with or without reasonable accommodation.
  5. Must be able to meet the Physical Demands of the position.
  6. Must pass a basic office skills test.
  7. Completion of Safe Schools Web Based Training within 30 days of employment and yearly thereafter.
  8. Must pass a Background Check including employee paid fingerprints.

QUALIFICATIONS REQUIRED

  1. Recommendations that confirm dependability flexibility loyalty and selfstarting capabilities.
  2. Must uphold board policies and follow administrative procedures.
  3. Must take all necessary and reasonable precautions to protect students equipment materials and facilities.
  4. Must attend inservice trainings or other meetings as required as well as attend any training as directed by management.
  5. Evidence of ability to assess and correct issues involving safety.
  6. Evidence of ability to establish and maintain a tactful cooperative and effective relationship with students parents staff fellow employees and management.
  7. Evidence of ability to approach assigned work in a professional manner working toward the common goal of teamwork pride in service delivery and continuous improvement.
  8. Must be able to use basic computer programs to maintain records enter timecard information and read and respond to email.
  9. Previous experience and/or training operating general office equipment such as: computer copy machine 10 key adding machine.
  10. Knowledge of computer programs such as Word Excel etc. Ability to function within various software programs.
  11. Strong verbal and written communication skills; working knowledge of correct grammar spelling and English usage.
  12. Must be willing to participate in district training as it becomes available for varied computer programs and other needs

QUALIFICATIONS PREFERRED

  1. AA degree or equivalent or comparable work experience in a secretarial/clerical office setting.
  2. Successful school office secretarial experience.
  3. Experience working with school district procedures such as student registration orientation and assisting with student bussing needs.
  4. Experience and/or training with Microsoft Word Excel and desk top publishing with the ability to use their functions.
  5. Experience with Power School and/or other student data management software program.
  6. Evidence of excellent spelling punctuation and grammar language and communication skills. A skills test may be given.
  7. Ability to greet students staff and parents in a positive professional manner while maintaining a balanced office routine.
  8. Demonstrated professional telephone skills and management of multiple line systems.
  9. Demonstrated ability to independently learn new operations procedures and processes.
  10. Previous experience working within a confidential environment.
  11. Evidence of ability to successfully work under pressure with regular interruptions.
  12. Positive evaluations and recommendations that support character and work ethic.
  13. Excellent attendance punctuality and dependability; evidence of ability to be selfdisciplined and a selfstarter.

JOB RESPONSIBILITIES

  1. Manage and maintain student records transcripts test results and other pertinent student information maintaining confidentiality of student records and information as appropriate.
  2. Request compile and mail student transfer records initiating contact with schools for transcript clarification when appropriate.
  3. Assist with registration and withdrawal of students especially at the beginning of the school year; process information and forms; make student information checks by phone and/or written requests; answer questions; provide material to students and parents.
  4. Provide counselors with student transcript and other academic records for their interpretation.
  5. Input grades and information from internal and external sources into student course histories.
  6. Assume primary responsibility for getting new students enrolled into the NWEA MAP TestTaker system having students take the MAP Reading and Math Survey tests and providing counselors and learning coaches with test results.
  7. Assist the counseling Department Secretary in the preparation of correspondence forms reports data entry ordering office supplies routing mail answering telephones scheduling appointments and performing other clerical duties as appropriate.
  8. Assist the Counselors in the processing and maintaining of TriTech applications withdrawals and schedule change forms.
  9. Assist school administration and counselors in the implementation of KSD Policy 2410 and pertinent regulations.
  10. Prepare and maintain graduation lists and graduation status reports.
  11. Process graduation credit waiver forms procedures.
  12. Process mail and maintain records for college applications.
  13. Maintain a quickreference file on students PSAT/SAT/ACT test scores.
  14. Assume the duties and responsibilities of the Counseling Department Secretary during time periods determined by the Counseling Department Chair and the Supervising Administrator.
  15. Assist as appropriate to support the school administration and counselors in the operation of the school and department.
  16. Perform all duties of the position within the scope of Kennewick School District policies and procedures including regular attendance and punctuality.
  17. Perform other related duties and responsibilities as assigned/requested by the supervisor.
