Torch Technologies is seeking a Business Administrator to support the Chief Technology Office at Headquarters USCENTCOM. This individual will provide comprehensive administrative operational and program management support to the Chief Technology Officer (CTO) and the broader Technology Office team.
This role is critical in helping drive initiatives forward coordinating with internal and external stakeholders and managing daily operational and logistical needs. The ideal candidate will possess exceptional organizational and time management skills a proactive and resourceful approach strong communication abilities and the flexibility to navigate a dynamic hightempo environment with shifting priorities.
This individual will work closely across the Technology Office CENTCOM Directorate staff and Component Command technology leads. Candidates with prior experience in integrated project or program administration especially in support of military government or technologyfocused organizations will be strongly positioned for success.
- Serve as a liaison between the CTO and internal directorate team members component commands and external stakeholders including the Department of Defense Congress industry partners and the venture/private equity communities.
- Proactively manage the CTOs calendar: coordinate prioritize and schedule internal and external meetings across multiple time zones as well as organize logistics for small and largescale events.
- Arrange complex domestic and international travel including itineraries accommodations work visas and associated documentation.
- Draft and edit internal and external communications ensuring clarity professionalism and alignment with organizational messaging.
- Facilitate large meetings and events: schedule rooms manage AV/VTC support prepare agendas and materials take meeting notes and track action items.
- Manage and maintain physical and electronic files; assist in the development of presentations reports spreadsheets and internal communications.
- Coordinate and post internal content on MS SharePoint intranet platforms and other messaging tools.
- Provide administrative and financial support including budgeting estimating cost tracking expense monitoring and reporting for moderatesized programs.
- Assist in the preparation of costtocomplete estimates and interpret customer requirements for moderately complex cost proposals.
- Conduct cost/schedule variance analysis and provide recommendations based on findings.
- Support facility and logistical coordination efforts related to CTOled initiatives or events.
- Act as a frontline contact for the Program Manager and represent the CTOs office in both internal and external interactions.
- Serve as backup for other executive assistants or program administrators when needed.
- Support special projects and evolving priorities stepping in flexibly to meet the needs of the organization.
- Bachelors Degree in Business Administration a related field or equivalent experience.
- 2 yearsof relevant experience managing a senior executives calendar phone travel and daily work schedules
- Active Secret security clearance with eligibility for TS/SCI
- Proven ability to take detailed notes extract action items and adjust priorities and schedules accordingly
- Strong interpersonal skills with a professional presence in both inperson and virtual settings
- Demonstrated experience in project management or crossfunctional support roles for senior executives
- Experience with the full lifecycle of acquisition processes including the development of Universal Funding Requests (UFRs) Military Interdepartmental Purchase Requests (MIPRs) and contract administration within the Department of Defense (DoD)
- Experience customizing and managing SharePoint sites including content management user permissions and workflow development
- Proficient with Microsoft Office 365 applications including Microsoft Teams SharePoint PowerPoint Excel and Word
- Prior military service or direct experience supporting military organizations with a strong understanding of DoD structures protocols and operational environments
- General understanding of travel coordination including reservations visa processes and the ability to manage Theater Travel and Area Clearance requirements in compliance with foreign travel policies
- Excellent attention to detail highly organized and adept at collaborating with others to track and meet deadlines
