Job Description

Position Title

WellBeing Program Coordinator

Westwood Administration East

Position Summary / Career Interest:

The Program Coordinator for the Office of Professional WellBeing (OPWB) provides essential administrative and operational support to advance wellbeing initiatives across the health system. This role is responsible for coordinating key components of the WellBeing Infrastructure including program logistics event planning survey administration and data management. The Program Coordinator also plays a critical role in supporting the Professional WellBeing Center (PWC) ensuring seamless scheduling and administrative operations for wellbeing services.

Responsibilities and Essential Job Functions
  • *WellBeing Infrastructure Coordination
  • Assist in the coordination and execution of wellbeing initiatives ensuring alignment with strategic priorities.
  • Support program operations including presentation development meeting logistics minutetaking and tracking of wellbeing initiatives.
  • Help manage survey cycles data collection efforts and summarization of frontline feedback meetings.
  • Provide administrative support for national recognition applications and other wellbeingrelated initiatives.
  • Collaborate with the Senior Program Manager to monitor program progress track metrics and assist in reporting and evaluation.
  • *Professional WellBeing Center (PWC) & Administrative Support
  • Manage scheduling for wellbeing services ensuring timely and efficient coordination of PWC referrals.
  • Serve as a primary contact for the PWC monitoring inboxes phone and fax systems to facilitate communication.
  • Maintain a referral database and support warm handoffs to external providers as needed.
  • Assist with the planning and execution of presentations workshops and events related to wellbeing.
  • Must be able to perform the professional clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • Associates Degree from an accredited college or university or an equivalent amount of years experience from which comparable knowledge and skills can be acquired.
  • High School Graduate
  • 4 or more years administrative experience preferably in a healthcare or wellbeingrelated setting.

Preferred Education and Experience
  • Experience working in a healthcare setting particularly in wellbeing mental health or clinician support.
  • Experience supporting project teams including budget tracking and reporting.
  • Experience with survey tools such as REDCap or similar platforms.

Knowledge Requirements
  • Strong organizational skills attention to detail and ability to meet deadlines.
  • Excellent verbal and written communication skills with the ability to interact effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook Visio).
  • Fastpaced environment requiring adaptability and strong problemsolving skills.
