Job Description:

The Administrative Assistant in the Automotive Sales Department supports the sales team by managing administrative tasks coordinating schedules handling customer communications and ensuring smooth daytoday operations. This role requires a detailoriented organized individual who can thrive in a fastpaced environment and provide excellent support to both the sales team and dealership clients.

Key Responsibilities:

  • Serve as the first point of contact for customers and vendorsby phone email or in person.

  • Maintain and update customer records and sales databases (CRM tools DMS systems).

  • Prepare sales documentation including contracts invoices and title paperwork.

  • Assist in scheduling test drives customer appointments and team meetings.

  • Manage inventory updates and sales reports for management.

  • Coordinate vehicle delivery logistics and postsale documentation.

  • Order office and dealership supplies as needed.

  • Support digital marketing efforts (vehicle listings social media postings etc.).

  • Assist sales staff with administrative support to meet monthly sales goals.

  • Maintain confidentiality of customer and company information at all times.

Qualifications:

  • 12 years of administrative experience; experience in an automotive dealership is a plus.

  • Strong organizational and multitasking skills.

  • Excellent communication skills (verbal and written).

  • Proficiency in MS Office Suite (Excel Word Outlook).

  • Familiarity with dealership management systems.

  • Ability to work in a fastpaced teamoriented environment.

  • Valid drivers license and clean driving record.
  • Preemployment background check and drug screen are required before being hired.
