Job Description

PERFORMANCE RESPONSIBILITIES:Accounts PayableMatches purchase orders to invoices and enters invoices into the accurate and effective document preparation and records management relative to the AP function in accordance with records retention policies and expenses to accounts and cost centers by analyzing invoice/expense reports and recording vendors by monitoring discount opportunities verifying federal ID numbers scheduling and preparing checks resolving purchase order contract invoice or payment discrepancies and documentation; ensuring credit is received for outstanding memos issuing stoppayments or purchase order vendor accounts by reconciling monthly statements. Enter new or updated vendor names and expense reports for travel course reimbursements and other and maintains tax exemption forms. Processes credit applications and all use of school credit card all paperwork for vehicle titling and transfers. Maintains all records of school vehicles. Scans completed warrants into the AssistantMaintains MCPPO or Associate MCPPO Certification. Maintains bid documents and files including bid bonds bid deposits in procurements including requesting prevailing wages advertising in newspapers Commbuys Central Register and backup to A/R as necessary. Administrative AssistantMaintains the Business/Human Resource and Director of Facilities the telephone and maintains message log for the Business/Human Resources and the Director of the organizations value by keeping information job knowledge by participating in educational out all other duties as assigned by the Business/ Human Resource ENVIRONMENT:This position may require long periods of standing and sitting. The individual may be exposed to ultraviolet lights as are found in computer monitors and copying equipment. The individual may be exposed to various hazards in the OF EMPLOYMENT:This is a fulltime twelve (12) month positionSalary based on the Administrative Assistant Salary ScheduleFringe benefits per NonUnion Personnel PolicyEVALUATION: In accordance with the School Committee Policy
