Job Description

ROLE OVERVIEW

Pivot Energy is seeking a motivated Office and Events Associate to join our team based out of our Denver headquarters. This position will provide a wide range of event planning and administrative partnership taking the lead on planning and executing our quarterly companywide retreats along with support for board and leadership gatherings and inoffice events. A key outcome of this role will be maintaining our strong relationshipcentered company culture through engaging and seamless experiences. The person in this role will also manage the daytoday operations of our Denver headquarters maintaining a welcoming environment and supporting the team as needs arise.

To be successful in this position the ideal candidate will have an inherent desire to plan and implement complex companywide events that support the backbone of Pivots culture of connectedness while at the same time creating and maintaining a professional welcoming office space. A strong focus of this role will be on event logistics from venue selection and vendor coordination to logistics planning and onsite support. The ability to visit venue sites and transport materials to events is required.

This is an exciting fastpaced role necessitating creative thinking and problemsolving skills paired with a natural inclination to connect with and support coworkers. Due to the need for inperson support at the Denver office only local candidates will be considered.

PRIMARY RESPONSIBILITIES

    • Lead planning coordination and execution of companywide quarterly retreats including site selection vendor management contract negotiation meal and meeting logistics and onsite support
    • Own dayof event coordination to ensure a seamless employee experience including overseeing event setup coordinating with onsite event hosts and triaging any employee issues or concerns
    • Support logistics and planning for board meetings investor meetings and leadership team retreats working as an administrative partner with executive stakeholders to ensure a polished experience
    • Create and maintain a welcoming environment for all employees working in and visiting Pivots headquarters in Denver
    • Support new hires onboarding in the Denver office including welcome packages seating arrangements office tours and other special projects as needed
    • Coordinate with various employeeled committees (including our ESG ERG and Fun committees) on local and remotefriendly events and activities supporting engagement with our nationwide team of employees
    • Liaise between building management and the Denver office; convey information regarding building management to Pivot team members
    • Monitor and manage office supplies organize office storage areas maintain kitchen/snacks and weekly lunch service for the Denver office team
    • Open sort and distribute incoming and outgoing mail deliveries and other correspondence
    • Be available to notarize documents for executive team members and teams as necessary
    • Additional tasks as required

REQUIRED COMPETENCIES

    • 2 years of professional working experience in an office environment
    • Prior experience in internal event planning or executive support roles
    • Selfstarter with strong selfmotivation and a proven capacity to work in a fastpaced highly fluid environment
    • Excellent written and verbal communication skills
    • Friendly approachable and professional demeanor
    • Proven ability to exercise good judgment discretion and confidentiality
    • Exceptional organizational collaboration and planning skills
    • Proficiency in GSuite Microsoft Office basic A/V technology and communication tools such as Slack to effectively communicate and collaborate with team members
    • Ability to manage multiple tasks and deadlines at the same time
    • Valid drivers license
    • This position involves regular walking and standing. May occasionally involve stooping kneeling or crouching and lifting items or boxes up to 30 lbs.

PREFERRED COMPETENCIES

    • Experience in event planning for teams of 50250 people
    • Prior office management experience
    • Prior administrative or assistant experience
    • Knowledge of employment and human resource processes and procedures
    • Familiarity with the solar or clean energy industry
    • Active notary commission
$65000 $85000 a year
COMPENSATION & BENEFITS

The estimated base salary range for this position is $60000$80000 depending on relevant experience along with eligibility for the companys substantial bonus plan with a target bonus of 30% of annual salary (prorated in first year based on start date). Compensation will be based on factors such as location level jobrelated knowledge skills and experience.
