TITLE:Attendance Assistant
TYPE:NonUnion Cycle II
WORK SCHEDULE:MondayFriday 7 hours per day. School Year 200 Days
REPORTS TO: Building Principal Supervisor of Attendance
OBJECTIVE:Provide support to the Supervisor fo Attendance and the Building Principal by monitoring student absences and reporting to appropriate administrativestaff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Monitor attendance daily and contact parent/guardian of each absent student.
- Set up and initiate Attendance Notification calls to the parent/guardian of the students who are absent and tardy to school.
- Make personal calls to parent/guardian of students absent for two (2) consecutive days.
- Report to the nurse daily on the students who have been absent for two (2) consecutive
- Follow up with and track students who have been absent and discuss reasons for absenteeism.
- Meet with students with excessive days absent and tardy to emphasize regular school attendance (daily and on time) and refer them to their school counselor if necessary. Meet regularly with students who are under 16 with excessive absences. Refer them to the Supervisor of Attendance for intervention imperative letter and for the possibility of filing of the CRA Child Requiring Assistance petition in court.
- Meet with students who have a history of excessive absences to make them aware of the Student Absences and Excuses Policy.
- Keep track of students who have been absent for fifteen (15) consecutive days without documentation. Notify personnel and mail withdrawal letters when applicable.
- Document all student and parent/guardian/caregiver contacts.
- Oversee and implement the process of attendance letters through the Student Information Management System.
- Enter phone calls from parent/guardian/caregiver of the students who are absent marking the student absent/parent/guardian/caregiver called
- Enter and file doctor notes court notes and parent/guardian/caregiver notes for absent students keeping students attendance up to date for the appeal process.
- Identify students with poor attendance who are at risk of losing credit and being retained and refer them to the school counselor.
- Notify school counselors of their students with attendance issue through reports generated from the Student Information Management System and Open Architects. Work closely with Probation Officers DCF the Key Program DYS and the Homeless and Foster Care Liaison as numerous students receive services from these agencies or individuals.
- Report truant students to a building administrator.
- Meet with the students whose mail comes back as undeliverable to determine if there is an address change/report any issues to vice principal or Supervisor of Attendance and notify the main office to expect proof of residency if applicable.
- Work with the high school principals to set up and organize attendance appeals at the end of second term and at the end of school year for the Supervisor of Attendance and the High School Principals to determine if credit can be restored. Protect confidentiality of records and information about students.
- Serve as a role model for students and staff in demonstrating positive attitudes toward school.
- Perform other duties and responsibilities as assigned by Building Principal or Supervisor of Attendance or other administrative staff.
REQUIRED MINIMUM QUALIFICATIONS
Education Training and Experience
- Associates Degree
- Prior experience in a school setting is highly desired
Knowledge Abilities and Skills
- Ability to communicate effectively both orally and in writing using proper grammar and vocabulary along with the proven ability to effectively communicate with students and families from diverse backgrounds and experiences.
- Appropriate telephone etiquette with proper voice inflection answering telephone calls in a pleasant and efficient manner and communicating effectively in routine sensitive and confidential matters.
- Ability to relate to and work with a variety of constituencies including but not limited to: administrators teachers other school staff members parents/guardians students visitors and community and social service agencies.
ADA and Minimum Qualifications to Perform Essential Job Functions
- Physical Requirements: Must be physically able to operate a variety of equipment including computers copiers adding machines etc. Must be able to exert up to 10 pounds of force occasionally and/or a negligible amount of force constantly to lift carry push and pull or otherwise move objects including the human body. Must be able to stand crouch and bend over for a long period of time at intervals throughout the day.
- Data Conception: Requires the ability to compare and/or judge the readily observable functional structural or composite characteristics (whether similar or divergent from obvious standards) of data people or things.
- Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information. Includes giving instructions assignments or directions to subordinates or assistants.
- Language Ability: Requires the ability to read a variety of correspondence reports forms newsletters schedules manuals invoices requisitions menus recipes journals etc. Requires the ability to prepare correspondence reports forms evaluations procedures charts surveys articles bid specifications brochures news releases handbooks budgets etc. using prescribed formats and conforming to all rules of punctuation grammar diction and style. Requires the ability to speak before groups of people with poise voice control and confidence.
- Intelligence: Requires the ability to apply principles of logical or scientific thinking to define problems collect data establish facts and draw valid conclusions; to interpret an extensive variety of technical instructions in mathematical or diagrammatic form; and to deal with several abstract and concrete variables.
- Verbal Aptitude: Requires the ability to record and deliver information to explain procedures to follow oral and written instructions. Must be able to communicate effectively and efficiently in a variety of technical or professional languages including medical legal accounting and marketing terminology.
- Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add and subtract; multiply and divide; utilize decimals and percentages; and to apply the principles of algebra and geometry.
- Form/Spatial Aptitude: Requires the ability to inspect items for proper length width and shape.

- Manual Dexterity: Requires the ability to handle a variety of items such as office equipment and hand tools. Must have minimal levels of eye/hand/foot coordination. Interpersonal: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with emergency situations.
- Physical Communication: Requires the ability to talk (express or exchange ideas by means of spoken words) and hear (perceive nature of sounds by ear.) Must be able to communicate via telephone.
