Job Description

Position Overview
The Administrative Assistant to the Director of Nelson Worship serves as the primary administrative support for all Nelson Worship operations. This position ensures efficient management of communication travel accounting and event coordination related to Nelson Worship and its various teams. The Assistant plays a crucial role in supporting ministry outreach student engagement and department logistics.
Major Responsibilities
  • Manage communications for all requests for travel teams oncampus events and meetings.
  • Oversee scheduling and calendar management for the Director of Nelson Worship
  • Send event questionnaires update travel documents accordingly and coordinate communication and logistics between all involved parties
  • Respond to local church worship team inquiries maintain worship opportunities database and liaise with potential students
  • Manage chapel/event feedback forms for students team leaders and event locations
  • Manage all 25Live requisitions for vehicles/trailers rehearsals and oncampus events and coordinate logistics for setup/teardown
  • Manage hotel/travel accommodations for event guests
  • Oversee all Planning Center Online (PCO) team members user permissions service orders chord charts files etc.
  • Oversee usage of worship team software including MainStage Ableton Playback Music Stand and SQ4U for chapel services and events
  • Print materials for chapel services including PCO service orders country of the day and announcements
  • Submit and manage receipt allocations petty cash check reimbursement and purchase order requests and maintain/update department and travel budget records
  • Manage all travelrelated administrative documentation travel binders receipts and travel merch sales/inventory and coordinate van/trailer pickups and returns
  • Organize and assign travel equipment and instruments for each event or camp
  • Oversee social media for Nelson Worship oncampus events and travel teams
  • Organize and coordinate logistics for major department events including: Leader InService New Student Orientation (NSO)/Lions Fair Nelson Worship Auditions Spiritual Saturation Chapel and Travel Team Orientations Leader Retreats Training Sessions Campus Days LNW Block Party SMA AllNight Prayer Nelson Worship Recordings etc.
  • Manage and maintain Nelson Worship merchandise and music equipment organization storage and inventory
  • Supervise workstudy students assigned to the Director of Nelson Worship
  • Organize and maintain department office kitchen and greenroom spaces including purchasing office supplies
Organizational Relationship
Reports to the Director of Nelson Worship

Qualifications
  • High School diploma required; Bachelors degree preferred
  • Strong communication and interpersonal skills
  • Exceptional organizational and timemanagement abilities
  • Detailoriented with the ability to manage multiple projects simultaneously
  • Selfmotivated with strong troubleshooting/problemsolving skills
  • Proficient in Microsoft Office Suite and Google Workspace
  • Experience with Planning Center Online Playback MainStage and Ableton
  • Worship team and social media experience preferred
  • Able to work efficiently in a dynamic ministryfocused environment
  • Comfortable navigating budgeting tools and administrative processes
  • Able to lift 25 lbs occasionally (for event or equipment setup)
  • Must demonstrate professionalism discretion integrity and reliability
  • Ability to support and intentionally contribute to a Christcentered spiritually formative environment
