The Basic Sciences Division at Fred Hutch is seeking aResearch Administrator II (RA) to facilitate the work of our preeminent scientists. This position will be one of a current team of RAs supporting the Divisions growing faculty. The position serves as a liaison between the laboratories and the administrative departments and as such has an opportunity to provide a broad array of administrative support functions. The RA plans for and ensures compliant and effective funding budget and regulatory administration and general administrative support for one or several Principal Investigators and their labs/departments. The RA collaborates with Principal Investigators and interfaces with other departments as needed on administrative and strategic planning and works autonomously to complete nonscientific grant content and tasks facilitates human resource activities in the laboratories advises the PIs on relevant matters and develops effective solutions to related issues.

Responsibilities

Budget/Fiscal Support

  • Develop monitor track and project complex multivariable budgets
  • Develop custom report formats to share information with the team/department
  • Run and analyze reports to identify issues
  • Approve budgets and expenses following applicable rules and regulations
  • Work with central administration partners to resolve identified budget and expense issues

Funding Source Administration

  • Lead the grant submission process by conducting key tasks such as: creation and communication of timelines to appropriate stakeholders completion of nontechnical portions of submission and oversight of institutional signoff
  • Perform key post award activities such as: interpreting the notice of award flagging unique aspects or budget adjustments and monitoring and adjusting the teams commitments across the portfolio of projects based on awards
  • Interpret Notices of Award with support of colleagues in the Office of Sponsored Research and/or Finance

Regulatory Support

  • Manage renewal timelines and ensure completion of regulatory documents in a timely manner
  • Identify necessary regulatory components of submissions confirm that required items are in place and escalate issues as needed
  • Determine impact of and develop implementation plans in response to applicable regulatory changes and/or revisions to Center policies and procedures
  • May serve as a central point of contact to answer questions escalating issues as needed

Research Operations Support

  • Space and shared equipment management

Building/Facilities:

  • Submission and tracking of facilities work orders for space and equipment maintenance and repairs.

General Laboratory and Administrative Support:

  • Manage purchasing and order requests coordinate equipmentrelated actions (e.g. autoclave maintenance freezer replacements)
  • Support lab space organization and cleanouts.

Budget and Fiscal Year Activities:

  • Manage building budgets including tracking reconciliation and reporting
  • Participate in the fiscal year budgeting process.

Faculty Space Meetings:

  • Organize and facilitate meetings with faculty to discuss lab space equipment and related issues.

Qualifications

  • High School Diploma or the equivalent
  • Two years of relevant experience
  • Advanced proficiency with Microsoft Office/Adobe
  • Working knowledge of Excel formulas and functions such as creating formulas and working with Pivot Tables
  • Ability to edit SharePoint sites or basic web pages
  • Knowledge/prior experience with Enterprise Software Systems
  • Ability to source data from systems and generate customized reports
  • Efficiently planning organizing and prioritizing your work as well as that of others
  • Ability to tailor communications to specific audiences
  • Ability to navigate complex internal systems and departments
  • Basic budgetary knowledge (ability to reconcile manage report budget information etc.)
  • Basic knowledge of accounting terminology
  • Prior experience or exposure to grant writing/applications including the knowledge of Uniform Guidance and government funding rules.

The hourly pay range for this position is from $32.77 to $49.14 and pay offered will be based on experience and qualifications.
