Job Description

Title:Cultural Language Diversity (CLD) Administrative Assistant

Calendar: B 12 Months
ESP Salary Schedule:Range 60 Step 1
Hours:8/Day 40/Week

Location:District Office

General Purpose

Responsible for delivering comprehensive administrative and clerical support to the Cultural and Linguistic Diversity (CLD) Team. This role involves actively staying informed on current practices and policies to effectively support the training of Alternative Language Service (ALS) Coordinators across all school sites. Additional responsibilities include providing administrative assistance for the ESL Endorsement Program managing documentation and communication related to Multilingual Learner (ML) Special Education referrals and supporting various other initiatives under the CLD Teams scope.

This position requires excellent communication skills positive attitude and the ability to work with people from all backgrounds. Must be able to adapt to changes manage time prioritize responsibilities and exhibit attention to detail.

Main Tasks and Responsibilities

  • Stay current on policies and best practices to assist in training Alternative Language Service (ALS) Coordinators across all school present and help facilitate training sessions for schoolbased staff.
  • Attend school district and state meetings. Disseminate information as needed.
  • Make decisions regarding dissemination of information and immediate action in the absence of supervisors.
  • Handle extensive confidential information.
  • Design and create support materials in student management software systems.
  • Utilize Google Suite (Docs Sheets Forms Drive etc.) for documentation and collaboration.
  • Monitor communication systems such as phones email chat and ensure messages are routed appropriately.
  • Copy file and distribute a variety of documents.
  • Provide clerical and administrative support for the CLD team and other staff as assigned.
  • Compose and type routine correspondence; prepare materials for special events such as invitations guest lists RSVPs programs etc.
  • Update SIS student records on computer;
  • Upload digital records to various software programs including student information systems.
  • Schedule appointments and make changes to the calendar as necessary.
  • Assist in developing and distributing digital and printed information and materials to staff as needed.
  • Assist with and participate in various special events providing support and assisting the CLD team and other staff as assigned.
  • Compile and type statistical information and reports; maintain related databases and enter new data as necessary.
  • Schedule meetings and record minutes of meetings as assigned.
  • Prepare outgoing mail including certified mail processes
  • Produce information by transcribing formatting inputting editing retrieving copying and transmitting text data and graphics.
  • Complete and maintain inventory of department resources
  • Follow purchasing requirements and processes
  • Reconcile bank accounts maintain credit card usage information and reconcile bank statements for credit card accounts.
  • Keep accurate budget accounts.
  • Assist employees in the timekeeping and payroll functions; balance time sheets for classified staff and send them to the District office.
  • Serve as backup for other clerical and administrative staff as assigned.
  • Other duties as assigned



Education and Experience

  • A High School Diploma or equivalent.
  • Two (2) years of related experience.
  • Knowledge of bookkeeping and skill in typing computers and using a calculator.
  • Experience supporting language services or related programs is preferred.

Working Conditions and Physical Requirements

  • The job occasionally requires light physical exertion including walking standing motor vehicle operation and other forms of light physical activity.
  • Work is carried out in an agreeable environment as generally represented by normal office conditions and little or no unpleasant elements.
