Job Description:

Maintenance Supervisor manages day to day operations of a fully integrated facility maintenance groundskeeping and housekeeping programs to ensure facilities are properly maintained. Provides a safe functioning and comfortable environment.

Accountabilities:

Incumbent may perform all some or similar range of duties as below.

Facilities Coordination:

  • Be familiar with all aspects of building systems and building and grounds operations; is conversant with all safety fire and building codes.
  • Conduct regular site inspections for repairs and maintenance; followup with Property Manager for action plan as required.
  • In conjunction with Property Manager ensure compliance with all applicable government legislation as well as Salvation Army policies and procedures related to building maintenance and housekeeping.
  • Recommend and perform minor and some moderate repairs.
  • Conduct moderate troubleshooting of building systems and callin other professionals when required.
  • In conjunction with Property Manager participate in planning and coordinating renovation projects including dry walling minor electrical repairs painting and plumbing.
  • Carry out maintenance requirements on a scheduled or periodic basis including but not limited to filter replacement lamp replacement HVAC adjustments washrooms and equipment repairs etc.
  • Respond to emergency conditions and building emergency calls including after hours and report accordingly.
  • Ensure equipment and vehicles are maintained in good working order schedules preventative and routine maintenance.
  • Ensure facility staff members are trained and/or licensed in safe operation of equipment and vehicles.
  • Maintain facility inventory in compliance with The Salvation Army and governmental guidelines.
  • Determine recommend and requisition needed maintenance and custodial supplies and equipment.
  • Communicate with vendors and other outside organizations to coordinate activities and obtain assistance.
  • Oversee facilities team and schedule maintenance requests.
  • Participate in emergency evacuation training sessions.
  • Perform inspections and maintain custodial practices and standards of safety and sanitation; keep records and prepare reports.
  • Perform other related duties as assigned by the Property Manager.

People Management and Human Relations

  • In conjunction with Property Manager ensure the department is fully staffed with qualified staff and that staff have the resources to do their jobs.
  • Hire orient supervise train schedule support evaluate and retain direct reports.
  • Increase program effectiveness and continuous quality improvement of program services.
  • Complete annual PEAC reviews for direct reports.
  • Ensure employees are paid accurately and ontime utilizing The Salvation Armys electronic payroll system and following all policies procedures and practices.
  • Ensure department staff complete all mandatory training and elearning courses within the set time frame and constantly reviews the skills and competencies of staff to ensure adequately meet the requirements of the job.
  • Ensure compliance with all employment legislation and workplace policies and practices.
  • Establish and maintain a positive working relationship with staff clients volunteers vendors and contractors.

Health and Safety

  • Identifies and implements effective practices for risk management to ensure safety for program staff minimizing liability and enhancing/upholding the reputation of The Salvation Army.
  • Monitors the safety of the workplace and equipment ensuring the facility is safe and healthy for residents staff and visitors.
  • In conjunction with Property Manager ensures compliance with all Occupational Health and Safety Legislation and workplace health and safety policies procedures and practices. Also an active member of the Occupational Joint Health and Safety Committee.
  • Ensures that the equipment materials and protective devices are provided and maintained in good condition.
  • Ensures facilities staff are trained to competently perform their duties ins a healthy and safe manner.
  • Monitors risk management and environmental issues and reports accordingly.
  • Perform and maintain Fire and Life Safety inspections and logs.
  • Submit incident and injury reports as required.

Financial

  • Assists the Property Manager to prepare department budget for upcoming fiscal year.
  • Complete documents required by Finance in accordance with policies and Finance Procedures i.e. purchase requisitions invoices and other finance documents.
  • Demonstrate diligent stewardship of resources.

Administrative

  • Maintain sites and buildings maintenance databases.
  • Prepare requests for purchase order requisitions as instructed with all required back up.
  • Prepare and maintain a variety of records and reports/logs including inventory levels facilities status and work performed including those required by accreditation standards and legislation.
  • File all contractor maintenance reports and keeps all records accessible in accordance with The Salvation Army Accreditation Standards.
  • Review position and training manuals to ensure information is current.
  • Develop and maintain an uptodate Maintenance Supervisor position manual.
  • Conduct regular staff meetings.
  • Attend meetings as requested by the Property Manager.
  • Completes and submits monthly report to Director & Property Manager.
  • Assists Property Manager as required.

CRITICAL RELATIONSHIP MANAGEMENT

Internal: Ministry unit staff and managers clients volunteers and hotel staff.

External: Liaise with contractors vendors suppliers and service providers.

MANAGERIAL/Technical Leadership RESPONSIBILITY:

  • Reports directly to the Property Manager.
  • Provides first line/supervisory direction and functional advice on a regular basis.
  • Direct reports for this position: up to 20 employees (Maintenance Workers Housekeeping Staff).

FINANCIAL AND MATERIALS MANAGEMENT:

  • Assists the Director to prepare department annual budget.
  • Limited input into new policy development.
  • Responsible for safekeeping of facilities and facility equipment and supplies.

WORKING CONDITIONS:

  • Works at the facility or its various sites which may include traveling between sites using personal and/or company vehicle daily.
  • Work is performed in a communityuse shelter inside/outside of the facility.
  • Exposed to weather as work is done indoors and outdoors in all seasons.
  • Work schedule may vary (evenings weekends and oncall for emergencies).
  • May be exposed to hazardous driving conditions as well as varying temperatures depending on seasonal weather.
  • Moving furniture pushing and pulling as well as lifting items up to 20 lbs
  • Incumbent is on call 24/7 and carries a cell phone which may impact lifestyle.
  • Supervises work in restricted spaces and heights (up to 35 feet up).
  • May deal with aggressive people and may experience verbal and less likely physical attacks.

education and experience Qualifications:

Education Qualifications and Certifications:

  • Facility Management or Property Management Certificate earned through a post secondary school program (1 year minimum)
  • Food Sanitation and Hygiene course (Section 31 of Public Health Act Food Regulation) or equivalent may be required for some roles
  • Current Standard First Aid with CPR

Experience and Skilled Knowledge Requirements

  • A minimum of three years of prior related experience in supervisory/management in facility management of commercial properties.
  • Sound working knowledge of health and safety standards general repairs (i.e. electrical & plumbing) building systems fire safety water treatment and electrical systems.

  • As the role will work in a location with a vulnerable population a recent VSC is required.

Compensation:

The target hiring range for this position is $55693.49 to $69616.86 with a maximum of $83540.23.

Placement in the salary range will be based on factors such as market conditions internal equity and candidate experience skills and qualifications relevant to the role.
