ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES
- Coordinate a variety of administrative clerical support activities in order to facilitate and expedite the administrative and clerical priorities of the rehabilitation department
- Assist Medical Support Assistants (MSA) and support staff with front office duties including consults appointment precalls and patient scheduling. Follow up on pending patient care scheduling issues and consult validity to expedite patient appointments according to acuity.
- Distribute and balance workload among MSAs in accordance with established workflow and schedule.
- Assist with orientation and training of new and current staff in accordance with established procedures policies and department guidelines. Review their work to ensure adequate knowledge of administrative duties and competencies.
- Update and distribute monthly patient census for Tshootsoo Medical Center and NahataDziil Rehabilitation Clinics.
- Ability to organize work set priorities and delegate tasks/responsibilities in order to meet deadlines.
- Use Resource and Patient Management System (RPMS) Electronic Health Record and Moonwalk scheduling package.
- Ensure patient understanding of scheduled visits with other clinics departments and specialties. Works closely with Patient Care Coordinator.
- Record and maintain monthly Quality Assurance Performance Indicators provide weekly patient attendance data to include volume of noshow appointments cancellations and patients discharged.
- Consult with providers when conflicts arise.
- Input patient information into the electronic data system to generate a visit record for the patient.
- Process requests for Medical Record utilizing electronic data system.
- Record and maintain an accurate record of pertinent patient information.
- Input visit specific data into electronic data system for each patient.
- Verify completeness of visit records ensuring adherence to required established standards prior to visit record being forwarded to Medical Records.
- Schedule appointments for patients needing following up in the clinic or specialty areas.
- Process department requests as ordered for the patient by the Therapist.
- Function as telecommunication expert and coordinator to ensure effective departmental communication.
- Organize monitor and display daily call schedule for all specialty clinics.
- Compile process and forward consultation requests and transfers submitted for the patients.
- Perform or actively facilitates faxing of appropriate documents and records to other facilities or medical providers.
- Communicate and coordinate with Purchase Referred Care (PRC) to ensure quick and accurate adherence to transfer protocols and processes.
- Process departmental mail and routes correspondence(s) to the appropriate individual.
- Actively participate in departmental Quality Assurance/Process Improvement Program.
- Record and maintain daily census disease specific and acuity records.
- Input and maintain requests for maintenance and BioMed repairs through an electronic ordering system.
- Record and maintain Rehabilitation Staff Meeting Minutes organize signin sheets for community outreach events and specialty clinics.
- Function as Records Management Resource for department as needed.
- Organize inventory order and maintain clerical supplies forms and other documents needed for the unit.
- Order and receive administrative supplies and supplementary patient care delivery supplies
- Ensure compliance with HIPAA standards and supports compliance with established CMS Standards.
- Adhere to established Hand Hygiene Standards.
- Adhere to Universal Precautions and Infection Control protocols.
- Ensure safe and accurate processing of all documents.
- Report safety issues or concerns to Safety Officer Security or Nurse Executive.
- Assist promote and support compliance with established Centers for Medicare and Medicaid Services (CMS) standards
- Performs other related duties as assigned.
MANDATORY MINIMUM QUALIFICATIONS
Experience:
Three (3) years work experience in work related industry.
Education:
Associates Degree in Business Administration or related field.
