Job Description:
The Director of Operations is a key operations manager responsible for overseeing the janitorial department for buildings under the tier. The Director of Operations is a central hub for managing field employees customers and tasks ensuring smooth daytoday operations while addressing unexpected issues. In case of other needs for clientsbesides janitorial needsthe DOO steps in to assist the CEO in ensuring client satisfaction.
Roles and Responsibilities:
1. Managing Operations SupervisorsDirectly supervises and assists supervisors on a daytoday basis.
Ensures supervisors follow protocols complete tasks and meet quality standards.
Splits workload between supervisors and ensures no individual is overwhelmed.
Supports and motivates operations supervisors and tracks their performance.
Supports supervisors with hiring training and terminating employees as needed.
Designs and implements systems for operations supervisors workflow and process.
Responsible for onboarding new buildings and assigning operations supervisors.
General oversight on porters performance and quality.
Coordinates porters schedules and tasks for Tier 1 buildings.
Creates and adjusts routes for operations supervisors to maximize efficiency.
Oversees supply orders and budget for Tier 1.
Only directly communicates with supervisors not onsite employees.
Communicates directly with property managers to address complaints and provide updates.
Sends monthly reports to clients including photos and progress updates.
Assigns special requests to Special Service Coordinator and follows up.
Maintains a positive face for the company in the clients view.
Manages lastminute issues or emergencies (e.g. repairs access issues).
Steps in or delegates in case of supervisors noshows.
Resolves conflicts between supervisors and clients.
Steps in to handle tasks beyond scope when others fail to deliver.
Utilizes tools like Salesforce and Asana.
Optimizes systems needed for her operations.
Tracks and documents operations complaints and task completion.
Collaborates with HR to consistently update workforce needs in advance.
Works with HR to set expectations and needs for new hires.
Works with HR to hire and onboard new operations supervisors as needed.
Trains operations supervisors to meet company standards.
