JOB DESCRIPTION

Position Title: Housing Operations Support Specialist

Employment Classification: Full Time Hourly NonExempt MF 8:30AM5:00PM

Reports to: Transitional Housing Supervisor of Operations

Department: Housing Program


Program Summary: Our Housing programs serve young adults (1825) utilizing a trauma informed harm reduction approach to help youth attain life skills and selfsufficiency based on their individualized goals. Through case management support over 1824 months with subsidized housing the program aims to provide safety and shelter while promoting selfdetermination of all youth experiencing homelessness including those who are unstably or unsafely housed regardless of their ethnicity gender identity past experiences or system involvement


Position Summary: The Operations Support Specialist is responsible for supporting the daily operations of the multisite Transitional Housing Programs. The position requires excellent organizational skills attention to detail and the ability to handle sensitive information with discretion. The role supports the overall functioning of the housing programs by ensuring smooth operations and effective communication across the different sites

Requirements

Major Areas of Responsibility:

  • Coordinate internal and external meetings with vendors property managers and program staff at each site to support move ins and move outs as well as ensuring all housing environments are routinely inspected and repaired.
  • Support the housing team by managing processes and documentation including generating and formatting inspection reports handling data entry processing invoices and managing maintenance requests.
  • Collaborate with team to support youths access to basic needs through the purchasing/gathering and distribution of needed items.
  • Collect enter and track program referrals to ensure accurate and uptodate information.
  • Initiating the first contact with transitional housing applicants ensuring they are aware of the differences between housing sites and programs.
  • Scheduling the first meeting with the appropriate care coordinator of the housing program that aligns with each applicants needs.
  • Work with the program team to develop refine and implement processes and procedures for program delivery
  • Handle sensitive information with discretion ensuring confidentiality and professionalism in all tasks.
  • Use trauma informed training provided by Orangewood to ensure a calm clean safe environment.
  • Once trained provide trauma informed support and guidance to assist young adults currently living in or seeking to live in Orangewood Foundations transitional housing programs.
  • Serves as a role model in conducting the Orangewood Foundation mission including but not limited to the following:
  1. Creates an atmosphere of enthusiasm and commitment.
  2. Directs all actions to reflect the values: trust respect and compassion.
  3. Executes Orangewood Foundation policies and procedures.
  4. Communicates directly with internal and/or external customers to assure proper resolution of concerns and satisfaction of inquiries and speaking positively of Orangewood Foundation decisions processes and programs to other staff and outside consumers.
  5. Establishes and maintains an environment that encourages teamwork interdependence and ethical behavior and does not participate in gossip.
  • Modifications to job duties may be made at the discretion of leadership.

Knowledge Skill and Experience Requirements:

  • High school diploma required; one year of experience in data entry and performing administrative duties including customer service support is preferred.
  • Demonstrate clear verbal and written communication skills ensuring effective engagement with program staff youth and stakeholders.
  • Exhibit interpersonal skills to build rapport and work collaboratively with colleagues youth and community partners.
  • Demonstrate computer literacy including Microsoft Office applications (Outlook Excel PowerPoint) and database systems managing documentation and communication effectively.
  • Ability to seek support when making decisions under pressure particularly when supporting program staff and handling urgent administrative tasks.
  • Utilize basic data entry skills and manage electronic databases effectively to ensure accurate and timely documentation.
  • Maintain strict confidentiality to protect sensitive information and uphold professional standards.
  • Accept and implement feedback constructively continuously improving performance and service delivery.
  • Possess a valid California drivers license and proof of automobile insurance. Position requires DMV clearance.
  • Bilingual Spanish/English preferred

    Working Environment/Physical Requirements:

    • Work is primarily performed in offices or home office spaces across housing sites in Orange County. Driving a personal vehicle is essential in this role. Physical requirements include standing sitting typing bending and lifting up to approximately 25 lbs
    • Modification to work schedule may be made based on needs of the Foundation.
