Harris County Public Library (HCPL) History

The Harris County Public Library (HCPL) system established in 1921 began as a collection of smalllibraries located in stores post offices and private homes. What you will do at Harris County Public Library:

The Coordinator II Lead Circulation is responsible for overseeing and coordinating the circulation deskoperations to deliver effective and efficient circulation services to patrons and branch staff. Serves as a leadposition and may exercise direct or indirect supervision over lowerlevel personnel. Performs full supervisory duties but does not typically do so for a preponderance of time. Responsible for overseeing the operation ofthe library circulation desk functions providing technical assistance to staff in the performance of their duties maintaining a customer service philosophy providing extensive patron support and processing various materials.


Duties & Responsibilities:

  • Serves in a lead role with the authority to directly or indirectly supervise lowerlevel personnel performing full supervisory duties as needed though not as the primary responsibility
  • Acts as a crew leader coordinating the work of the circulation staff under the direction of the BranchManager
  • Prioritizes and assigns tasks establishes work rules and performance standards and ensures a safe andhealthy working environment
  • Provides training to circulation staff and creates schedules to maintain ensure adequate desk coverage
  • Participates in hiring evaluation and training of department staff
  • Oversees library circulation desk operations providing technical assistance to staff maintaining a customer service focused approach supporting patron extensively and processing various materials
  • Delivers exemplary customer service by answering directional and reference questions
  • Coordinates circulation operations with patrons branch staff and partner libraries
  • Initiate Interlibrary loan requests by verifying materials not in the library consortium and placing a request
  • Monitors the condition of library materials processed through circulation and determines appropriate repairactions
  • Processes Interlibrary loan invoicing and purchase order requests
  • Resolves issues with patron accounts including lost or damaged items
  • Monitoring circulation system data preparing reports and analyzing circulation trends to support decisionmaking
  • Maintain and organize forms handouts flyers and other informational materials related to the circulationdepartment
  • Order and manage inventory of circulationrelated supplies
  • Trains other branch staff members on circulation and patron record management tasks
  • Attends and participates in mandated training work groups and professional development activities toenhance skills and develop professional knowledge
  • Performs other duties as assigned

Requirements

Education & Experience:

OR
  • Associates degree in any field or 60 hours of secondary education credits from an accredited college or university
  • Four (4) years of library circulation experience
OR
  • High school diploma or G.E.D. equivalent from an accredited college or university
  • Six (6) years of library circulation experience
Additional Requirements:
  • Available and reliable transportation for workrelated duties
  • Unofficial copies of transcripts are required along with the application

Knowledge Skills & Abilities:
  • Library and circulation policies fines renewals holds and patron account management
  • Integrated library systems (ILS) and cataloging software to track and manage library materials
  • Familiarity with organizational methods such as the Dewey Decimal or Library of Congress systems
  • Online library databases and conducting online research using web browsers
  • Follow best practices in customer service to assist patrons in a positive courteous and respectful manner that is friendly and maintains discretion
  • Communicate clearly and professionally with patrons staff and supervisors both in writing and verbally
  • Ability to be detailoriented with skills in prioritizing tasks managing multiple duties and ensuring timelycompletion of circulation responsibilities
  • Strong interpersonal skills for handling patron inquiries complaints and resolving issues diplomatically
  • Proficiency with computers databases and library software including basic troubleshooting of officeequipment. Competent in using the MS Office Suite (Word Excel PowerPoint Outlook) social media platforms (Facebook Twitter Instagram) the Internet and Office 365
  • Ability to work independently and with a team
  • Ability to lead a team assign tasks effectively and provide constructive feedback to improve performance
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverseenvironment
  • Ability to perform multiple tasks simultaneously including handling interruptions and returning to and
    completing tasks in a timely manner

Work Environment and Physical Demands:
  • This job typically operates in a professional office environment with overhead lighting and long periods of screen time.
  • Daily use of a computer keyboard copier scanner printer calculator phone (desk and cell).
  • Daily use of software programs including Microsoft Office Suite Outlook Word Excel and GPS.
  • At times work may be performed in an outdoor environment and may have possible exposure to inclement weather or various temperature changes.
  • Driving: Available and reliable transportation for workrelated duties.
  • Sitting for long periods; light physical activity that may include walking standing stooping bending reaching lifting and carrying.
  • Ability to lift carry and exert up to 25 pounds. Occasionally lifts carries and exerts up to 40 pounds.
