You will provide comprehensive administrative support to the Product Office leadership and promote business operations. Roles and Responsibilities:
- Organize and prioritize incoming tasks and requests for Product Office leadership.
- Coordinate and manage calendars appointments audio and video teleconferences for the Product Office leadership. This includes coordinating with internal directorates and outside organizations for proper meeting representation.
- Coordinate travel arrangements and process travel vouchers for the Director and assist with any Defense Travel System (DTS) needs for the staff.
- Oversee and complete Automated Time Attendance and Production System (ATAAPS) for various divisions.
- Review forward and track awards in the Department of Defense (DoD) Performance Management and Appraisal Program (DPMAP) including current year and previous year amounts in Excel.
- Prepare and edit correspondence reports and presentations.
- Receive and respond to requests for assistance or information.
- Conduct research and gather information for various mission initiatives.
- Assist in the preparation and followup of meetings including taking meeting minutes as needed.
- Manage and maintain classified controlled unclassified confidential and unclassified files and documents.
- Liaise with higher headquarters governmental organizations stakeholders and subordinate organizations to ensure effective communication and collaboration.
- Answer phone calls and direct to appropriate Point of Contact (POC) if needed.
- Assist in the planning and execution of IFMC Product Office events and special projects.
- Monitor and oversee official Product Office correspondence using internal and external automated tracking databases.
- Assist in Human Resources functions by keeping personnel records up to date.
- Maintain office electronic filing and Knowledge Management system through Microsoft SharePoint including key briefings and documents short / longrange calendar attend meetings to provide updates and capture requirements as needed.
- Ensure that all office folders/separators and files are maintained and purged annually in accordance with Army Regulation 244002.
- Responsible for new employee inprocessing and outprocessing procedures.
- Coordinate and maintain adequate levels of office supplies necessary for staff performance of work.
Basic Qualifications:
- Possess an Active DoD Secret Security Clearance.
- Bachelors degree in business administration or a related field.
- 2 years of proven experience as an executive assistant or a similar role.
Preferred Qualifications:
- Competence skill level with Army OSD and DoD organizations and staff processes desired.
- Competence skill level with DTS ATAAPS and DPMAP desired.

- Strong knowledge of office management systems and procedures.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication abilities.

- Proficient in Microsoft Office Suite MS Teams and SharePoint.
