Job Description

Overview

Counseling and Prevention Services (CAPS) provides mental health wellness and prevention services to students in Logan and Statewide. CAPS also has a robust training program including an accredited fulltime doctoral internship and an undergraduate peer education program. In collaboration with the Office Manager these Staff Assistant positions will play an essential role in daily operations of the center by assisting students seeking CAPS services and providing administrative support to professional therapists and trainees. These positions will be important members of a team that values student support belonging worklife balance and collegiality.

There are two openings:

  1. One of the positions is a 12month position housed in the CAPS main office in the Taggart Student Center (1.0 FTE)
  2. One of the positions is a new position for CAPS. It is a 10month position (AugustMay) housed in the Student Wellness Center (.833 FTE).

Both of the positions will be scheduled for 40 hours per week. These positions are not telework eligible. Please indicate in the cover letter which position(s) you are applying to.

Responsibilities

  • Reception and customer services duties for CAPS:
    • Communicates with students faculty staff parents and other visitors to schedule appointments and answer questions about CAPS services while maintaining confidentiality and providing empathic support.
    • Greets students answers phones and directs calls to appropriate parties.
    • Reviews incoming client paperwork and schedules initial appointments based on the triage criteria.
    • Provides administrative support to CAPS staff including scheduling appointments coordinating meetings/conferences facilitating referrals to other offices (e.g. Disability Resource Center) and maintaining/ordering office supplies.
    • Coordinates and collaborates with the Office Manager and the other CAPS staff assistant as needed.
  • Program assistance:
    • Provides programmatic assistance for various CAPS programs such as scheduling interviews for CAPS training programs coordinating trainee schedules assisting with the mandatory athletic mental health screens dissemination of the Client Satisfaction Survey etc.
    • Provides data for monthly reports on relevant programs.
  • Office support and other duties:
    • Coordinates office environment upkeep addressing supplies equipment and facilityrelated concerns.
    • Performs miscellaneous jobrelated duties as assigned.
    • Participates in CAPS weekly staff meetings and other activities as assigned.

Qualifications

Minimum Qualification:

  • Minimum of 2 years of related work experience; OR associate degree/vocational training; OR an equivalent combination of education/experience.

Preferred Qualifications:

  • Knowledge of USU resources.
  • Experience working in a confidential clinical office.

Knowledge Skills and Abilities:

  • Strong interpersonal and communication skills.
  • Ability to work respectively with all students.
  • Ability to maintain confidentiality.
  • Ability to multitask.
  • Ability for critical thinking initiative taking and attention to detail.
  • Skilled in the use of computers.
  • Ability to create compose and edit written materials.
  • Skilled at records maintenance.
