Job Description

Position Title: Educational Technician IV Mail Services

Location: 3215 Cuming Street Omaha NE 68131

Reports to: Printing and Publications Administrator

Work Schedule/FLSA Status: 12 month 261 days/NonExempt

Salary Schedule: 36F

Position Purpose: Dependable and organized Mail Clerk will handle all aspects of mail processing within the Omaha Public Schools. This role involves managing incoming and outgoing mail including certified mail and packages operating mailroom equipment such as postage meter machines and ensuring compliance with postal regulations and rate structure

Essential Peformance Responsibilities:

  • Proactively troubleshoot and resolve issues that arise during the processing and distribution of mailings ensuring minimal disruption to operations.
  • Maintain uptodate mailing certifications and licenses by tracking expiration dates and completing timely renewals to remain compliant with postal regulations.
  • Track mail center deposits and account charges by preparing weekly financial reports and reconciling balances to ensure fiscal accuracy and accountability.
  • Prepare and process outgoing mail (letters packages certified and courier)
  • Maintain records of incoming and outgoing items
  • Operate mailroom equipment such as postage meters scanners and label printers
  • Ensure delivery schedules are met and urgent items are prioritized
  • Track and log mailroom inventory and order supplies when needed
  • Liaise with postal and courier services as necessary
  • Follow security procedures for handling sensitive or confidential items
  • Assist with other administrative tasks as required
  • Coordinate the processing of US and school mail including interoffice mail pickup and delivery within TAC.
  • Coordinate the receipt of materials delivered to the receiving dock at TAC and the subsequent delivery within TAC.
  • Coordinate the processing of materials being distributed by district mail trucks from TAC.
  • Sort and process outgoing mail including weighing and metering.
  • Assist other district staff as necessary with mail processing requests.
  • Maintenance of postage deposit accounts and postage meter balances in conjunction with Board of Education and Accounting Department.
  • Stay informed of evolving mailing technologies and be prepared to adapt to new systems and procedures including future implementations such as webbased tracking platforms.
  • Train and supervise other Mail Center staff including Work Experience Program students.
  • Monitor US Postal Service rules and regulations and suggest changes in district procedures as required to maintain compliance.

Additional Duties: Performs other related tasks as assigned by supervisor and other central office administrators as designated by the Superintendent.

Equipment:

  • This position may require the ability to use basic office equipment such as computers copiers and scanners.

Travel: Travel is not required.

Physical and Mental Demands Work Hazards:

  • This position typically operates in an office mailroom or dock setting with regular lifting and standing required throughout the day.
  • Lifting and bending (up to 75 lbs.) required
  • Must be able to respond rapidly in emergency situations.
  • Must have organization time management communication and interpersonal skills.
  • Work in an office environment.
  • Ability to lift move and reposition objects and materials frequently exerting force equal to lifting fifty (50) pounds.

Interrelations:

  • Contact with personnel within the district and with customers and vendors.
  • Will be working under the direct supervision of the department supervisor in order to complete day to day tasks.
  • Will be working with a diverse population requiring the ability to handle all situations with tact and diplomacy.
  • Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues.
  • Expected to interact with all internal and external customers in a friendly professional manner and provide quick responsive customer service.

Employee Punctuality and Appearance:

  • In order for schools to operate effectively employees are expected to perform all assigned duties and work all scheduled hours during each designated workday unless the employee has received approved leave.
  • Any deviation from assigned hours must have prior approval from the employees supervisor or building administrator.
  • All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for their position.

Knowledge Skills and Abilities:

  • High school diploma or equivalent.
  • Previous mailroom or clerical experience preferred but not required.
  • Familiarity with certified mail postal rates and USPS regulations.
  • Experience using postage meter machines (e.g. Quadient Pitney Bowes Neopost).
  • Strong attention to detail and organizational skills.
  • Strong time management skills.
  • Basic computer proficiency (email data entry logging items reports and reconciling balance).
  • Computer knowledge using Microsoft Word and Excel.
  • Ability to follow instructions accurately.
  • Good communication and customer service skills.
  • Knowledge of common processes in the mailing/shipping industry.
  • Ability to communicate with the public and school personnel using tact and courtesy.
  • Knowledge of presorting procedures for firstclass presort certified and bulkrate mail.
  • Proficient in the operation of semiautomated USPS & postal weighing and metering equipment.
  • Ability to prioritize and handle multiple tasks simultaneously while assisting staff and vendors both in person and on the telephone.

Terms of Employment:

This position is treated as a fulltime exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment in a Nebraska public school and Board of Education policies as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.

The offer of employment is contingent upon:

  • Obtaining and providing verification of all licenses certificates and other requirements for the position (e.g. Paraprofessionals obtaining Highly Qualified status etc.) as identified and maintaining all licenses certificates and requirements for your position throughout employment.
  • A background check which demonstrates to OPS that background is acceptable for the position.
  • Verification of U.S. citizenship or legal authorization to work in the United States.
  • Successful completion of a preemployment drug test (if required for position offered).
  • Successful completion of a tuberculosis skin test (if required for position offered).
  • Successful completion of a preemployment medical examination to determine ability to safely and effectively perform the essential functions of the position.
