Job Description

BELLINGHAM PUBLIC SCHOOLS

BELLINGHAM MASSACHUSETTS

TITLE: Secretary to the Principal

LOCATION: DiPietro Elementary School

SCHEDULE: 7:45am 3:45pm

(180 days 180 Hours to be used as needed for a fluctuating workload for the good of the school system)

POSITION SUMMARY:

The Secretary for Principal of DiPietro Elementary School is directly responsible to thePrincipal/Assistant Principal and under their direction is expected to perform a wide variety ofclerical and general office work as required on a daytoday basis including but not limited todrafting correspondence scheduling appointments organizing and maintaining paper andelectronic files or providing information to callers.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Knowledge of administrative and clerical procedures and systems such as managing files and records typing letters spreadsheets memorandums and other reports and other office procedures and terminology.
  2. Knowledge of the structure and content of the English language including the meaning and spelling of words rules of composition and grammar.
  3. Maintains a regular filing system and processes incoming correspondence as required.
  4. Serves as a receptionist dealing effectively and courteously with people.
  5. Orders and maintains supplies as needed.
  6. Maintains confidentiality of work performed.
  7. Coordinates the scheduling of appointments and makes arrangements for conferences.
  8. Establishes a good rapport and cooperates with all personnel.
  9. Organizes and maintains office records for ready accessibility.
  10. Updates and maintains all student information systems (i.e. registration attendance school choice homeless data)
  11. Maintains and preserves all public records and supporting files of the school department which will include student cumulative folders and a student database.
  12. Knowledge in working on all Microsoft Office products as well as Google Suites.
  13. Learn to operate new office technologies as they are developed and implemented.
  14. Proofread documents records or other files to ensure accuracy.
  15. Assumes other related assignments or work that may be assigned by the Principal.
  16. Adheres to the adopted policies of the Bellingham School Committee.

SKILLS/ABILITY:

  1. Emotional maturity competence and personal integrity.
  2. Requires meeting strict deadlines.
  3. Requires repeating the same physical activities or mental activities over and over.
  4. Must be able to remain in a stationary position for the majority of the day.
  5. Energetic enthusiastic and willing to cooperate with other staff members in assistingwith all phases of central office work.
  6. Exercises good judgment using accuracy and thoroughness to determine validity of work done.

CERTIFICATES LICENSES and/or DEGREE REQUIREMENTS:

  1. Required: High School Graduate. Associate degree preferred.
  2. Thorough knowledge of office practices and procedures.
  3. Must demonstrate neatness in appearance and work.
  4. High degree of patience and tact in dealing with students parents teachers administrators and the general public are necessary.
  5. High degree of proficiency in Google Suite and Microsoft Office including Word Excel and inhouse accounting software.
  6. Such alternatives to the above qualifications as the Superintendent may find appropriate and acceptable.

SALARY: $21.74/hour

CLASSIFICATION: AFSCME

PHYSICAL WORKING CONDITIONS:

Requires sitting and repetitive movement.

REPORTS TO: Principal/Assistant Principal

SUPERVISORY RESPONSIBILITIES: None

DiPietro Elementary (Preschool Grade 3) Stall Brook Elementary (Preschool Grade 3) Bellingham Memorial School (grades 47) and Bellingham High School (grades 812) and Keough Memorial Academy (grades 712) is our therapeutic day school for students with special needs.
