Job Description

The Administrative Assistant performs clerical support in an efficient manner in accordance with established procedures and as directed by your supervisor.

Responsibilities

  • Must have excellent communication skills. You will be the first line of communication between your boss and the outside world potentially speaking with clients other employees and upper management.
  • Must be able to thrive in a fast pace environment and work independently. Must possess the ability to work well under pressure and maintain a high level of confidentiality with calm and professional demeanor
  • Shares pertinent information with team as obtained from clients or families.
  • Maintains a professional atmosphere both on the telephone and in the waiting area.
  • Maintains a filing system for various company functions including but not limited to copying and setup
  • You will be responsible daily for writing emails transcribing notes faxing copying and creating spreadsheets or printing documents.
  • Assists with projects from other departments as necessary.
  • Attends inservice training when necessary.
  • Maintains confidentiality pertaining to clients and families
  • Maintains and orders office supplies for every department.
  • Greets visitors and clients in a professional manner.
  • Adheres to all company policies and procedures.
  • Completes other tasks as assigned.
  • Receive and follow reception schedule/instructions from your supervisor and as outlined in our established policies and procedures.
  • Operate telephone system as required.
  • Answer telephones determine nature of call and direct caller to appropriate individual or department.
  • Receive inquiries and release information in accordance with established policies and procedures.
  • Maintain a current file/listing of patients
  • Greet visitors and direct to the appropriate place.
  • Give directions/information to visitors guests patients sales representatives etc.
  • Offer beverages to visitors waiting for administrative personnel as appropriate.
  • Ensure all visitors/guests sign in on the confidentiality (HIPAA) log.
  • Issue and collect guest badges as guests/visitors sign in.
  • Ensure guests/visitors abide by existing rules and refuse admission to persons as directed.
  • Report suspicious persons/information to a supervisor immediately.
  • Assist all staff and departments with administrative duties as directed. (This includes typing filing etc.)
  • Receive sort and distribute mail as directed.
  • Operate copier office machines etc. as directed.
  • Operate computer as directed or needed.
  • Order supplies as directed or needed.

This is a full time position that will work MondayFriday 8am5pm.

  • High School Diploma or equivalent is required
  • Bachelors degree in Business Administration Secretarial Science or other related field is preferred
  • Minimum of 1 year in a clerical position is required
  • Minimum of 2 years of sobriety required
