Job Description

Sturgeon County is looking for an experienced and highly motivated Administrative Assistant/Receptionist to join our team. Reporting to the Taxation and Receivable Supervisor this exciting position provides front line service delivery to residents and stakeholders and administrative support to the department. Through a solutionoriented approach the administrative assistant is a key contributor to the achievement of the departments operational deliverables.

This is a temporary position up to 24 months.

KEY DUTIES AND RESPONSIBILITIES
Reception and Office Support (50%)

  • Greets visitors in a professional and friendly manner (in person electronically and by telephone) responds to inquiries and directs to the appropriate person or department.
  • Distributes mail for the County.
  • Supports office supply orders for the County.
  • Issue and collect payment for Dog Licenses Landfill permits and Fire permits.

Corporate Finance and Treasury Support (25%)

  • Accepts and receipts payment for municipal goods and services.
  • Reviews and codes departmental accounts payable invoices for approval.
  • Data entry and peer review of financial information to support internal control structure.
  • Enters journal entries into financial software.
  • Prepares and distributes accounts receivable invoices vendor cheque payments and taxation mailouts as required.
  • Assists with tax utility and accounts receivable work and account inquiries.
  • Maintain departmental statistics registry to support various program area reporting objectives.

Administrative Support (20%)

  • Drafts formats and proofs various types of documents for Finance department.
  • Maintains department files and databases for appropriate disposition of records.
  • Prepares departmental administrative and operational mailouts as required.
  • Maintains departmental Microsoft SharePoint sites.
  • Provides administrative support to the manager and department staff as required.

Other Related Duties (5%)

  • Performs other related duties as required.
  • Adheres to guidelines as set out in Sturgeon Countys policies and administrative directives.
  • Adheres to applicable responsibilities and accountabilities as outlined in the Sturgeon County Health and Safety Management System.

KNOWLEDGE EDUCATION QUALIFICATIONS SKILLS ABILITIES AND EXPERIENCE
The following are required in this position:

  • One (1) to two (2) years of reception experience along with proficiency in Microsoft Office applications including word processing spreadsheets databases.
  • Experience with operating office equipment such as photocopier postage meter personal computer paper folder facsimile switchboard etc.
  • Excellent communication skills including ability to be professional when answering the phone and possessing strong interpersonal skills.
  • Proficiently skilled in all Microsoft Office programs.
  • Ability to multitask within a cohesive team environment.
  • Excellent organizational skills and strong attention to detail.

The following are considered assets or preferences in this position:

  • Certification in office administration or equivalent.
  • Familiarity with other software programs is an asset.
  • Prior experience working in accounting and billing/collection.
