Description

Position Summary:

The Employee Services Generalist provides essential administrative and logistical support to the Employee Services (ES) team. This role assists with daytoday office operations supports recruitment onboarding activities and benefits administration ensuring excellent customer service for employees and visitors.

Essential Functions:

General Administrative Support

  • Serves as the first point of contact for phone calls and walkin visitors to the Employee Services suite.
  • Directs inquiries and guests to the appropriate staff member.
  • Maintains an organized filing system for employee records and departmental documents including creating and retaining files following the retention policy.
  • Handles incoming and outgoing mail orders office supplies and manages general office upkeep.
  • Maintains calendars and schedules appointments for departmental meetings and orientations.

Recruitment Support

  • Manages the administrative aspects of job listings in the Paycom HRIS under the Directors direction including entering the job listing into the system live posting offer letter initiation using a template closeout procedures and final disposition using templates.
  • Monitors and guides candidates through the application and ensures accurate completion. Communicate as necessary to candidates department heads/hiring managers or others.
  • Initiate and monitors background checks for candidates in the HRIS system. Regularly communicate with the Director about the status of the checks.
  • Communicates with payroll administrator regarding new hires terminations promotions or transfers and ensures updated HRIS.

Onboarding & Orientation Support

  • Prepares new hire packets and onboarding materials and conducts first day benefits overview meeting with new hires (Phase one New Hire Orientation.)
  • Coordinates logistics and participates in twiceyearly New Employee Orientation Phase 2 (room setup schedules handouts host).

Benefits Support and Processing

  • Accurately input and track benefit elections and changes (new hires qualifying events transfers and terminations); coordinate with the HRIS and Payroll Administrator and ensures changes reflect accurately in vendor billing statements.
  • Maintain uptodate records and rosters for all benefit programs and conducts monthly audits.
  • Supports the annual open enrollment process by distributing materials scheduling sessions and tracking employee submissions.
  • Responds to routine benefits questions from employees escalating complex issues as appropriate.
  • Maintains all employee health and benefit data in compliance with HIPAA and institutional privacy and confidentiality policies.

Qualifications

Qualifications

:

  • Experience in an administrative or clerical support role or similar.
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Strong verbal and written communication skills. Proficiency in English required.
  • Demonstrates a servant attitude and willingness to assist others.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to collaborate effectively and consistently demonstrates a strong teamoriented mindset.
  • Professional friendly demeanor and a customerservice mindset.
  • Demonstrates alignment to Asburys Ethos beliefs and standards.

Preferred:

  • Familiarity with HRIS platforms (e.g. Paycom Paylocity etc.) or willingness to learn.
  • Knowledge of basic HR or benefits terminology is a plus. Experience in a similar HR role.

Work Environment & Physical Requirements

This position operates in an office environment typical of a seminary and requires the following physical and environmental conditions:

  • Prolonged periods of sitting at a desk using a computer.
  • Frequent use of hands and fingers for typing writing and handling documents.
  • Occasional standing walking bending or reaching to retrieve or store files and supplies.
  • Regular communication with others via phone email and inperson requiring clear speech hearing and vision.
  • Ability to occasionally walk across campus to other offices meeting rooms as needed.
  • Work is typically performed in a quiet to moderately active office environment with standard lighting and climate control as is typical of office environments.
