You will be updated with latest job alerts via emailAs the Events administrator you will be responsible for preparation and distribution of material and correspondence relating to the successful operation of the Department such as contracts proposals and banquet event orders (BEO). Must have a keen eye for detail an organised approach and a willingness to exceed guest expectations. S/he will also act as the department s liaison with the guests in the absence of Events Sales Managers Office.
Overall Duties and Responsibilities
Reporting to the Events Sales Manager responsible for all catering event sales from booking events to their execution.
Preparation and distribution of material and correspondence to the clients such as function proposals and yearly contracts.
Responsible for maintaining and improving the KOFISI catering business
Maintaining existing relationship with clients as well as solicit new business to achieve sales targets.
Support the Events Sales Manager by meeting with the bookers and meeting planners and ensure a smooth serviceoriented events sequence.
Achieve/succeed the budgeted/forecasted financial plan for the events and sales department.
Assist the Events Sales Manager in preparing the monthly required reports.
To establish and maintain rapport with clients prior to throughout and post conference exceeding their expectations and encouraging repeat business.
Initiate billing procedures ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame
Conduct preconference meetings with clients and pertinent departments to confirm all relevant details are communicated
Blocking and booking of events and meetings and management of the Office RND system.
Tracking and analysis of competitive set pricing and yield strategies gaining the ability to predict the competition set reaction to changes in the marketplace.
Preparation and distribution of material and correspondence relating to the successful operation of the F&B Department to all respective departments.
Responsible for preparing and distributing the banquet event orders (BEO) and prompt distribution of last minute changes to affected departments.
Qualification & skills
o Diploma hospitality from a recognized academic institution
o Strong ability to adhere to tight deadlines and pay attention to detail
o Strong ability to work as a team with the rest of the team
o Detail oriented with strong communication and organizational skills
o Ability to work individually in addition to collaborating with a team
Experience
o A minimum of 2 years professional experience in hospitality
