University Registrar
JOB TYPE: FT (Benefits Eligible)
JOB PURPOSE: The University Registrar will provide strong leadership consistent with the academic goals and mission of the institution and will work to foster a studentcentered and excellent customerserviceoriented approach to operations. The University Registrar is responsible for planning managing supervising reporting and advising on all activities related to academic records conferral of degrees course registration course and classroom scheduling student information systems academic catalogs and related areas. The person in this position will provide leadership within the Registrars Office to achieve institutional enrollment goals and to ensure a positive student experience through process improvement datadriven analysis and decisions and removal of artificial barriers to success. This position reports to is supervised by and evaluated by the Associate Vice President of Academic Affairs.
ESSENTIAL DUTIES:
Coordinates supervises and provides executive leadership for all functions and services of the Universitys Registrars Office including the student information system class scheduling instructional space assignments registration grading degree and enrollment verification academic records management transcripts compliance application processing and articulation graduation auditing and awarding of degrees.
Oversees the conformity of educational record use dissemination and privacy of student information according to university policies and legal requirements including the Family Educational Rights and Privacy Act (FERPA) and other applicable laws and regulations as well as those of other regulatory and accrediting agencies.
Reviews develops designs and implements procedures and business processes for records registration and scheduling to enhance departmental efficiency and effectiveness.
Supervises the evaluation and recording of transfer credit for the University including credit for Advanced Placement and International Baccalaureate examinations credit from study abroad programs ensuring that credit is transferred with the approval of the faculty in accordance with University policies external regulations and best professional practices.
Monitors and verifies student enrollment data essential for official internal and external reporting related to academic and student records including the National Student Clearinghouse NSLDS IPEDS VA auditors and accreditors.
Oversees the implementation maintenance and effective use of the student information and other systems.
Maintains the course catalog and course sections files/tables including course requisites restrictions expected class size course descriptions faculty assignment section schedule and degree requirements in the student information system.
Supervises the maintenance of the degree audit module and provides oversight for the monitoring of students progress toward degree completion.
Maintains and upgrades the Universitys academic information infrastructures including academic records archives web pages and online resources and other electronic mediums.
Designs establishes and maintains an organizational structure and staffing to effectively accomplish the Universitys goals and objectives; organizes recruitment training supervision development and evaluation of registrars office staff.
Develops and manages annual budgets for the department and performs periodic cost and productivity analyses.
Plays a shared leadership role in the enrollment management process working closely with colleagues from multiple units including Solutions Center Admissions Financial Aid Student Accounts Academic Affairs Athletics and faculty.
Leads the Universitys Academic Calendar Committee in proposing developing and implementing a multiyear academic calendar.
Performs other jobrelated duties as assigned.
EDUCATION:
Masters degree from a regionally accredited college or university.
EXPERIENCE:
A minimum of four years of progressively responsible experience in the Registrars Office including supervisory and leadership experience for at least two of those years.
Understanding of administrative matters across higher education.
Minimum of two years of Ellucian Colleague experience.
Proficient in using learning management systems (Moodle preferred) admissions systems (Slate preferred) room scheduling software (AdAstra) and other technologies.
Experience administering complex processes and making independent decisions is required.
KNOWLEDGE SKILLS AND ABILITIES
Expert knowledge of Family Educational Rights and Privacy Act (FERPA) ability to appropriately handle sensitive confidential information and experience with the protection of confidential student records information and issues.
Superior written and oral communication skills with the ability to interpret legal information write and revise educational policies that are relevant clear concise and enforceable.
Comprehensive knowledge of enrollment systems.
Strong understanding of best practices in student registration and records and wellversed of the role requirements and processes of a successful Registrar in strategic enrollment management and student success.
WORKING CONDITIONS:
Schedule: Regular business hours are Monday to Friday between the hours of 8:30 AM 5:00 PM. There may be the occasional need to work extended hours during critical periods (e.g. fiscal quarterend/yearend audits or budget season).
Physical Requirements: Primarily sedentary; involves extended periods of computer use. May occasionally require lifting files or documents (up to 20 pounds).
