Job Description

Position Overview:

The Executive Assistant provides highlevel administrative support to the executive management team. This role requires a proactive detailoriented individual with excellent communication and organizational skills. The Executive Assistant must handle confidential information with discretion and maintain a professional demeanor in all interactions.

Key Responsibilities:

Administrative Support:

  • Manage and maintain the executives calendar including scheduling appointments meetings and travel arrangements.

  • Prepare and edit correspondence communications presentations and other documents.

  • Conduct research compile data and prepare reports.

Meeting Coordination:

  • Organize and coordinate meetings including preparing agendas materials and minutes.

  • Attend meetings and take detailed notes for followup.

Communication:

  • Screen and prioritize incoming calls emails and correspondence.

  • Draft and proofread correspondence and documents.

Project Management:

  • Assist in the planning and execution of special projects and initiatives.

  • Track progress and provide regular updates.

Travel Coordination:

  • Arrange complex and detailed travel plans itineraries and agendas including important visitors such as our board of directors and multinational executives from our customers

  • Ensure all necessary travel documents and information are prepared and timely prepare expense reports.

Confidentiality:

  • Handle sensitive information with the highest level of confidentiality.

  • Maintain discretion and confidentiality in all business matters.

Qualifications:

  • Education: Bachelors degree in Business Administration Communications or a related field preferred.

  • Experience: Minimum of 5 years of experience in an executive assistant or similar role preferably supporting Clevel executives.

  • Skills:

    • Exceptional organizational and timemanagement skills.

    • Excellent verbal and written communication abilities.

    • Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software.

    • Writing and grammatical skills

    • Strong problemsolving skills and attention to detail.

    • Ability to work independently and as part of a team.

    • High level of professionalism and discretion.

Working Conditions:

  • Onsite in Natick MA five days per week.

  • Occasional work at weekends and at off hours given the international nature of our business and the demands of our executives
