ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES
- Schedule appointments meetings luncheons etc. for the Quality Services Division staff. Field requests for information and resolve or assist in resolving a variety of concerns.
- Process paperwork conduct research answer phones and prepare presentations and reports using various software including Microsoft Office programs such as Excel and PowerPoint etc.
- Manage the administrative functions of the division including ordering supplies serving as the primary contact for general inquiries managing equipment and picking up mail.
- Use judgement in assessing the urgency and relevance of issues and matters brought to the Chief of Quality.
- Read and review all incoming correspondence determining proper action and at times preparing answers before forwarding to the appropriate department. Review outgoing correspondence and reports ensuring proper format mathematical correctness correct grammatical content and ascertaining all necessary coordination of facts has been completed and is in accordance with established policy.
- Make timely travel arrangements for all Quality Services Division employees. Prepare and submit travel vouchers including accurate computation of all costs. Coordinate travel type itinerary etc. Keep abreast of changes to policy for immediate implementation to prevent delays in completion of requests or errors in reimbursement.
- Plan for conferences meetings and workshops. Coordinate information and prepare folders of material to be discussed.
- Take transcribe and distribute minutes of various meetings in accordance with organizational policy.
- Maintain records and accurate data charging the correct accounting codes verifying all object class codes and identifying and justifying purchases/services.
- Reconcile monthly credit card statements according to policy.
- Fill in for the Senior Executive Assistant to the Chief Executive Officer (CEO) in their absence.
- Performs other duties as assigned.
MANDATORY MINIMUM QUALIFICATIONS
Experience: Four (4) years direct work experience
Education: Associate Degree in Business Administration or related field
