Job Description

Position Objective

This position supports the college mission of educating tomorrows workforce through various retention and completion initiatives. Specifically this position provides administrative support to the Director of Advising and Counseling and the Advising and Counseling department. This role includes supporting retention and completion strategies triaging student needs updating education plans and responding to general inquiries regarding technical programs core academics and general information about CPTC.

Duties and Tasks (Essential Functions)

Duty: Provide administrative support to the Director of Advising and Counseling.
Tasks include:

  • Gather reconcile and report comprehensive data at the Directors direction or request utilize college databases student information portals accrediting/licensing body websites dashboards internal and external documents and internet research.
  • Prepare purchase requisitions for office supplies equipment and travel authorizations for the Director and Faculty Counselors and other leaders within the Student Success division.
  • Provide administrative support for department retention and completion strategies.
  • Review reconcile and compile monthly budget reports and initiate internal budget revisions as requested by the Director of Advising and Counseling. Route documents through proper channels to obtain appropriate authorization (s) and signatures.
  • Attend meetings as requested and take meeting notes.
Duty: Provide administrative support to Advising and Counseling and within Student Success
Tasks include:
  • Assist with calling campaigns and reminder calls to students about appointments/deadlines.
  • Create revise and maintain program maps (education plans) for degrees and certificates.
  • Assist with tracking student progress through technical programs.
  • Schedule confidential appointments using Simple Practice for the Mental Health Counseling program.
  • Work with the Director and Mental Health counselor to fulfill the administrative needs of the Mental Health Counseling program such as scheduling copying maintain confidential files and tracking budget purchases.
  • Coordinate calendars for multiple staff faculty counselors and departments. Schedule appointments monitor for walkns and balance schedules among staff to ensure there is appropriate coverage for breaks.
  • Coordinate with office staff and work study students to cover the front desk for lunches required breaks and vacations.
  • Triage student needs and direct students to appropriate resources.
  • Create forms flyers and other promotional and informational materials.
  • Make copies and assist with special projects.
  • Monitor faculty counselors required licenses and certifications in the PDU database and work with Human Resources regarding any discrepancies.
Duty: Department and collegewide projects and initiatives college support and professional development.
Tasks include:
  • Attend and actively participate in campus committees and workgroups.
  • Assist with the coordination of special events.
  • Engage in professional development activities.
  • Attend and actively participate in department division and college meetings and trainings.

Minimum Qualifications

  • Associates Degree with two years of fulltime clerical/administrative work experience in a professional office environment or educational setting OR High School Diploma with four years of full time clerical/administrative work experience in a professional office environment or educational setting.
  • Competency using Microsoft Office Suite including Word Excel and Outlook.
  • Experience preparing and tracking purchase requisitions and providing budget summaries.
  • Ability to adapt to a highvolume and fastpaced work environment.
  • The ability to contribute to the colleges commitment to diversity by fostering a climate of multicultural understanding and appreciation.

Preferred Qualifications

  • Four years experience in data entry or use of personal computers
  • Experience with Washington State CTC Link
  • Knowledge of CPTC services and program offerings
  • Experience supporting an administrative office within an educational setting
