Job Description

FTZ Supervisor leads the team and is responsible for supervising the daytoday FTZ Operations to achieve flawless operational execution developing a strong and reliable team infrastructure technical expertise knowledgeable and promotable personnel while constantly driving efficiency profitability and growth supporting our Vision and Mission Statement making our promise real to all our employees and customers.

Key Deliverables:

Monitor the following key metrics and support to achieve the expected results:

  • People: 100% Timely Reviews and One on Ones
  • Operational Excellence: Gross and Net Performance improvement
  • Daily Performance Monitoring (Billing statement customs releases compliance results customs filings etc.)

Administration and Personnel Management:

  • Follow the 10 Critical Success Factor and Whats expected of a supervisor guidelines.
  • Ensure that company controls policies procedures processes are understood and applied Supports Manager managing capacity by ensuring that the team is structured and organized; consider expected growth and volume spikes.
  • Oversee all aspects of capacity impacting the team.
  • Ensure employees have a PDP as per their skills and expertise. Develop your number 2. Assist the manager in identifying talent.
  • Engage with team members conduct daily huddles to promote teamwork and cohesiveness.
  • Hold regular individual checkins for coaching and mentoring; provide and seek feedback.
  • Ensure all needs and tools required are available for the team to be successful in all areas.
  • Ensure coverage of operations with staff who have the appropriate certifications  
  • Oversee proper onboarding of new staff and continuous training of all employees within the team.
  • Team members to complete 52hour training per year (4.33 per month) and required training timely.
  • Support all Corridor TBP Employee Satisfaction initiatives.
  • Escalate issues to Operations Manager or Brokerage Manager as need.

Key Responsibilities:

Operational Excellence:

  • Monitor and continuously improve service execution according to operational milestones:
  • including but not limited to: INB ENF/ESP no RLS ENF no ESP IAEs AUEs ADD CVD EDEs Inbond Status CENSUS TIBs Rail Status Reports etc.
  • FTZ activities: Inventory management Admissions Withdrawals inbonds entry and EEI filings. Coordination among teams to ensure shipments are received and dispatched timely following all our Operational Performance Standards and CBP procedures.
  • In collaboration with Operations Manager increase productivity by contributing to the implementation and optimization of systems and tools with the goal to increase SPP.
  • Proactively (during T&I for new customers) ensure all accounts are setup for success with Reporting ES Audit Rules Auto alerts and any other tools according to customer needs.
  • Make certain that specific instructions are understood at the desk level to properly process shipment sand invoices. Maintain SOPs updated for all customers.
  • Ensure proper use of all Expeditor systems and tools including but not limited to EXPO Customs and Accounting CHB Workboard PSM GCI tool CFIT Raft VR ETC.
  • Monitor CHB Workboard daily to identify exceptions and address any concerns as needed.
  • Make certain that files are logged correctly and timely with proper codes trace types and events.
  • Monitor and understand volume trends and/or unexpected changes. Identify root causes and recommend possible solutions.
  • Ensure that all correspondence is handled timely and professionally. No emails should go unanswered over 24 hrs. Urgencies typically require <1 hour response. Monitor and set priorities with the team.
  • Ensure that all customers legal documents are updated.
  • Review/Approve PSC Requests within 24 hours for a timely submission to the PSC entry team.
  • Ensure proper follow up on PMA submissions to the Compliance team.
  • Perform entry/admission/withdrawal audits and implement corrective actions
  • Analyze IDMA data to ensure implementation of corrective and preventive actions to avoid post summary corrections.
  • Actively monitor gross and net performance and drive efficiency through continuous improvement in all cycle times.
  • Utilize dashboards and reports to effectively monitor the operation at the required frequency.
  • Maintain highest levels of compliance with Customs laws and Partner Government Agencies (PGA) and all applicable regulations by being the subject matter expert and staying updated with changes educating staff.
  • Share execution results with Operations Manager weekly address concerns and communicate changes.
  • Monitor and improve key District Excellence metrics.

Customers and Business Development:

  • Maintain and develop relationships and business opportunities with existing customers in collaboration with account management team.
  • Work with T&I and account management to make certain that customer requirements are properly documented (SOPs) understands and implemented for proper processing and invoicing by the team.
  • Work with Compliance managers to understand trend discrepancy root causes and implement necessary corrective actions.

Financial Excellence:

  • Ensure compliance of all financial related policies including our credit policy.
  • Supervise to ensure timely and accurate billing.
  • Supervise to ensure that billing packages are timely sent (IVM).
  • Review all billed not paid and paid not billed items for proper handling and closing
  • Expense Control Monitor capacity to avoid and control Over Time.
  • Keep track of AR status and support with resolution as necessary.

Security Health and Safety

  • Responsible to inform immediately to the Branchs Health and Safety representative any unsafe condition that could put employees at risk in the workplace as well as any incident or accident.

 


Qualifications :

To be the most effective in this position we are looking for the following skills and experience:

  • Education: Bachelors degree in foreign trade preferred or equivalent convention of education and experience.
  • 2 years of experience leading a team.
  • 3 years of experience of Customs Brokerage with Expeditors Internal System FTZ preferred.
  • Knowledge of the HTSUS Title 19 of the Code of Federal Regulations ForeignTrade Zones
  • Knowledge and experience with Participating Government Agencies
  • Handson knowledge of Customs clearance function.
  • Has obtained U.S. Customs Brokerage License (or in process).
  • Exhibit a leadership style that empowers coaches mentors and fosters a cohesive team environment always prioritizing employee satisfaction.
  • Strong interpersonal and communication skills ability to communicate at all levels including presentations.
  • Operational excellence and Customer Satisfaction oriented.
