Job Title: Operations Floater II (QMS) FLSA Status: NonExempt


About us

Physicians East a team of skilled healthcare professionals united to meet the challenge of delivering quality costefficient comprehensive healthcare to the people of Eastern North Carolina.

Location & commitments

FT/PT/Temp/PRN role based at our Greenville (other) location MondayFriday 7:30a.m. 6 p.m.

Overtime may be required to ensure patients are taken care tasks are completed and calls are returned in a timely manner. Weekend work is rare but can occasionally be necessary.


Supervision Received:Reports to the Department Coordinator Operations Supervisor and Operations Manager.


Supervision Exercised:None.

Typical Physical Demands:Requires prolonged standing or sitting. Requires frequent bending stooping or stretching. Requires eyehand coordination and manual dexterity sufficient to operate a keyboard photocopier telephone and other office equipment.

Typical Working Conditions:

Normal office environment.


About the role:

Coordinate incoming and outgoing referrals answer department phone calls and schedule patient followup appointments. Primary duties listed are grouped into three different areas. Group one West/Main; Group two East; Group three South/WHSmith.

Operations Floater II must have the ability to cover in their main group at the Arlington location and at our outside locations Winterville Urgent Care Center and Kinston.

Responsible for greeting assisting patients securing accurate and up to date patient information collecting patient balances and copayments at the time of service ensuring prompt service at the point of check in/out and promoting positive workplace with other departments within Physicians East.

Candidate requirements

  • Must have high school diploma or equivalent.
  • Associates Degree preferred in related field and at least five years of experience in medical office position or specialization required; or the equivalent combination of education and experience.

COMPUTER SOFTWARE UTILIZED:NextGen and Centricity EMR.


Responsibilities:

  • Schedule and coordinate outgoing referrals to offices both inside and outside of Physicians East.
  • Complete and send Request for Referral Appointment Authorizations to Managed Care Representative.
  • Notify patient of referred appointment date and time.
  • Coordinate and schedule patient followup appointments.
  • Follow through to verify appointment was kept and report to referring provider.
  • Serve as backup to all administrative staff at the Arlington location for your assigned area during high volume workdays scheduled staff vacations and/or call outs. (Appointment Coordinator Referral Specialist Reception Unit Secretary)
  • Assist in working Aledade noshow and recall reports for your assigned area.
  • Answer multiline phones transfer calls and successfully operate a fax machine.
  • Schedule and coordinate hospital procedures for providers.
  • Send out and review new patient paperwork with patients.
  • Maintain the providers schedules within the department. Ensure that schedules accurately account for providers vacation requests.
  • Work as a contributing member of a team to keep departments running smoothly.
  • Participate in inservice education staff meetings and other continuing education programs to maintain optimal technical knowledge.
  • Adhere to department and company policies.
  • Attend safety classes and compliance training as offered by Physicians East P.A.
  • Always maintain confidentiality.
  • Participates in educational activities as necessary.
  • Attends required meetings and participates in committees as requested.
  • Enhances professional growth and development through inservice meetings education programs conferences etc.
  • Performs related work as required.
