Job Description

This position is open to current elementary administrative asssitants only; this is a substitute/temporary assignment during the summer.

Rate of Pay: $18.64 to current TCCAPS rate of pay

CLASSIFICATION: Substitute/Temporary
Status: PartTime Summer Hours (Hourly NonExempt)

Reports to: Pupil Accounting & Student Data Manager

General Summary:

The Summer Elementary Central Registrar is a substitute/temporary assignment to provide essential support to the district by managing student enrollment processes for all elementary sites during the summer period. This role serves as a key point of contact for parents/guardians facilitates efficient enrollment procedures ensures accurate student records and supports districtwide data integrity initiatives. The Registrar collaborates with various departments and reports to Pupil Accounting & Student Data Manager.

Duties and Responsibilities:

  • Student Enrollment Support:
    • Field enrollment inquiries from parents/guardians via email and phone for all elementary sites.
    • Process inperson/dropin enrollments at the Central Office for all elementary sites.
    • Create student record folders for new students enrolled then forward to sites.
    • Initiate records requests for incoming students from previous schools.
    • Manage online enrollment and registration for Junior Kindergarten (JK) and Kindergarten (K) and continue piloting online enrollment processes.
    • Participate in community enrollment events including the Enrollment Tour (August 12 13 and 14 2025).
    • Assist with Traverse City High School enrollment processes as directed by the Curriculum & Instruction (C&I) Department on an as needed basis.
    • Conduct or coordinate elementary building tours for parents/guardians upon request working with Cabinet members and Building Principals.
    • Filter and monitor Open Enrollment and School of Choice requests.
    • Provide regular reports on enrollment numbers for elementary sites throughout the summer.
  • Data Management Support:

    • Perform PowerSchool Contacts clean up and consolidation.
    • Work on MICR rosters to support the Nursing Department.
    • Assist with districtwide data clean up projects in collaboration with Pupil Accounting and Technology including:
    • Residency/address checks.
    • Program participation clean up in PowerSchool of student records at end of year/new school year rollover.
  • Administrative Support
    • Assist with coordinating the Administrative Assistant Welcome Back Training.
    • Assist with updating Administrative Assistant resources for the upcoming school year.
    • Provide coverage for Glenn Loomis Phones and Doors.
    • Other duties as assigned

Knowledge Skills and Abilities Required:

  • Experience with the student information system/PowerSchool.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality of student records.
  • Prior experience in a school setting or registrars office.
  • Knowledge of student enrollment procedures and requirements.

Physical and Mental Requirements:

  • Must be able to report on a regular and consistent basis.
  • Maintain consistent and punctual attendance.
  • Duties include frequent walking and physical activity as well as use of hands and arms for signaling and light lifting/carrying.
  • The ability to listen and effectively orally communicate information and ideas to a diverse population.
  • Ability to effectively discern information and formulate appropriate action(s).
  • Ability to critically think and provide appropriate solutions.
  • Ability to work effectively and efficiently.

Environmental Conditions:

Incumbents work in outdoor environments with moderate to loud noise levels. Duties may be completed in cold and hot temperatures or inclement weather conditions including work on slippery and/or uneven surfaces. Work environment includes operating around moving vehicles.

Anticipated Work Schedule:

Starting June 16 2025 through August 14 2025 (32 days)
9:00 a.m. to 2:00 p.m. (160 total hours)
MondaysThursdays each week (no Fridays)
No hours the week of June 30July 5 due to the district closure

Background Checks:

The individual selected for this position will be required to pass a criminal history background check.
