Qualis LLC is seeking a Management Analyst. Primary responsibilities in support of project office include:
Maintain daily and operational calendars and manage scheduling for HMIF Program Office Leadership
Draft review and send communications on behalf of HMIF Program Office Leadership IAW established templates formats and policy
Organize and prepare for meetings including gathering documents and attending to logistics of meetings(Teams)
Answer and respond to phone calls communicate messages and information to Program Leaders
Manage senior leader travel in DTS
Responsible for assisting senior program specialists with assessing preparing and providing mission short and longrange goals mission and personnel calendars objectives and initiatives to be presented to senior leadership.
Organize attend and participate in organizational staff calls standups and project office tagups working groups ad hoc IPTs or similar venues; assess action items from meetings and engage in the resolution process; and propose responses to inquiries based on actions assigned. Prepare notes or afteraction summaries track actions items and making recommendations on response for closure.
Maintain internal task tracker assign tasks to appropriate team members Track to completion.
Assist with daily office operations and prioritization of events based on known activities or guidance provided such as synchronization and integration of events and activities for the Project Office through coordination consolidation and collaboration of information.
Create compose consolidate and review documentation e.g. correspondence briefings response to inquiries and talking points for correctness format spelling and grammar before sending out for approval or signature.
Assist with special projects where multiple functions are involved coordinating actions clarifying responsibilities and timelines for completion and consolidating data as necessary and reviews to ensure accomplishment of objectives timeliness and acceptability. Consistently developing and sustaining cooperative working relationships and ensuring visitor authorization requests (VARS) are prepared when needed.
Assist in the efficient operations/administration of the Project Office. Recommend policy and business practice changes to enhance Operations efficiencies.
Bachelors Degree
Proficiency in MS Office
Active Secret Clearance
Required Experience:
Previous experience working with and in an office led by highranking Senior Leadership.
Experience working internal/external taskers
Experience managing CIV travel in DTS
Experience serving and managing mission/information demands of executive members of the Army or DoD staff
Desired Qualifications:
Proficient in arranging travel utilizing DTS
Ability to work in dynamic high paced work environment
Exceptional oral and written communication skills
Excellent Organizational Skills
